The Drain of Repetitive Email Correspondence
Whether you manage customer inquiries, send recurring project updates, schedule meetings, or handle job applications, email communication involves immense repetition. Most professionals find themselves drafting virtually identical paragraphs day after day. A common stopgap solution is maintaining a messy text document on the desktop containing boilerplate snippets, manually copying and pasting paragraphs into the Gmail compose window whenever a routine query arrives.
This manual workflow is slow, interrupts your concentration, and frequently results in embarrassing formatting errors—such as mismatched fonts, broken hyperlinks, or forgotten placeholders. To streamline this process, Google includes a native Templates feature (historically known as “Canned Responses”) directly within Gmail. Once enabled, you can insert pre-formatted, ready-to-send messages with just two mouse clicks.
Step 1: Enable Templates in Gmail Settings
By default, the Templates engine is disabled in standard Gmail accounts. You must turn it on through the web interface:
- Open Gmail on your desktop web browser.
- Click the Gear icon (Settings) in the top-right corner.
- In the Quick Settings panel, click See all settings.
- Select the Advanced tab from the horizontal top navigation menu.
- Locate the Templates section.
- Click the radio button beside Enable.
- Scroll down to the bottom of the page and click Save Changes. Gmail will refresh automatically.
Step 2: Draft and Save Your First Template
Now that the feature is active, drafting a reusable template takes seconds:
- Click the Compose button in the top-left corner to open a new message window.
- Important: Remove your automated signature: If you have an automatic email signature configured, delete it from the compose window before saving your template. If you leave it in, Gmail will insert the template signature in addition to your default signature when you apply the template later, producing an awkward duplicate signature at the bottom of your email.
- Type your desired Subject line. Whatever text you place here will automatically populate the subject line when the template is inserted into a blank draft.
- Write and format the body text. You can include bold formatting, bulleted lists, and active hyperlinks. Use clear bracketed placeholders (such as
[Client Name]or[Invoice Date]) to remind yourself to personalise dynamic details before hitting send. - Click the Three vertical dots (More options) icon located in the bottom-right corner of the compose toolbar.
- Hover over Templates > Save draft as template.
- Select Save as new template.
- Enter a descriptive name for your template (for instance, “Initial Client Consultation Reply”) and click Save.
Step 3: Insert Your Template into an Email
Whenever you need to respond to a message using your pre-saved draft:
- Click Compose for a new email, or click Reply inside an existing conversation thread.
- Click the Three vertical dots in the bottom toolbar.
- Hover over Templates.
- Under the “Insert template” section, click the title of the template you want to use.
- The pre-written text and formatting will populate your draft instantaneously. Fill in your bespoke placeholders, review the text, and send the message.
How to Update or Delete Existing Templates
Business communication evolves. When your pricing, scheduling links, or policy wording change, you can update an existing template without starting from scratch:
Updating an Existing Template
- Open a blank compose window and insert the template you wish to modify.
- Make your text revisions directly in the compose window.
- Click the Three dots > Templates > Save draft as template.
- Under the “Overwrite template” list, click the name of the template you just edited.
- Confirm the overwrite when prompted.
Deleting an Obsolete Template
To purge retired snippets, click the Three dots > Templates > Delete template, and select the obsolete item from the list.
Frequently Asked Questions
Can I create email templates in the Gmail mobile app on iOS or Android?
No. Creating and managing Gmail templates is exclusive to the desktop web interface. However, once templates are created on desktop, certain third-party keyboard utilities can replicate rapid text expansion on mobile devices.
Can I automate template replies using Gmail filters?
Yes. You can combine Templates with Gmail Filters to create automated auto-responders. In Gmail search, click the filter icon, define incoming criteria (e.g., emails containing a specific subject keyword), and in the filter actions step, check Send template to trigger an automatic reply.
