How to Broadcast a PowerPoint Presentation Online to Remote Viewers

Distributing slide decks to remote clients, colleagues, or conference attendees often encounters technical hurdles. Attendees may not have Microsoft PowerPoint installed on their devices, or email file size limits may reject rich media attachments. Modern editions of Microsoft PowerPoint (including Microsoft 365 and PowerPoint for the Web) include automated online presentation broadcasting features that allow anyone with a standard web browser on a smartphone, tablet, or laptop to view your live slide deck in real time.

Method 1: Using Present Live in PowerPoint for the Web

PowerPoint for the Web includes the Present Live feature, allowing audiences to view live slides, read real-time subtitles, and navigate slides independently:

  1. Save your presentation to OneDrive or SharePoint and open it in PowerPoint for the Web (via office.com).
  2. Switch to the Slide Show tab in the primary ribbon.
  3. Click the small downward arrow next to Present Live.
  4. Select your audience permission:
    • Only people in your organization: Requires attendees to sign in with matching corporate credentials.
    • Anyone: Generates a public link accessible by anyone without signing in.
  5. Click Present Live.

PowerPoint launches an introductory welcome screen displaying a prominent QR code and a short web URL. Audience members simply scan the code with their mobile cameras or enter the link in any web browser to join.

Interactive Audience Features in Live Broadcasts

Broadcasting through PowerPoint Live provides capabilities unavailable in traditional screen shares:

  • Real-Time Subtitles & Translation: Attendees can toggle live captions on their personal devices in their preferred language (supporting over 60 languages).
  • Independent Slide Review: Audience members can scroll back to review earlier slides they missed without interrupting the speaker’s live flow, and click Sync to Presenter to return to the active slide.
  • Audience Reactions: Attendees can send live emoji reactions (thumbs up, hearts, applause) that appear subtly on the presenter’s screen.

Method 2: Sharing via PowerPoint Live in Microsoft Teams

If conducting a scheduled remote business meeting inside Microsoft Teams:

  1. Join your scheduled Microsoft Teams meeting.
  2. Click the Share button on the meeting control bar.
  3. Scroll down to the PowerPoint Live section.
  4. Select your presentation from the cloud list or click Browse OneDrive.

PowerPoint Live streams slide vectors directly through Teams, maintaining crystal-clear typography and allowing the speaker full access to private presenter notes and attendee chat panels simultaneously.
