When you need to collect information from clients, employees, or event attendees, sending a standard Microsoft Word document and asking them to type over the blank spaces often results in chaos. Formatting gets accidentally deleted, text wraps strangely, and the final document is difficult to process.
To solve this, Microsoft Word features a hidden suite of Developer tools that allow you to create professional, lockable forms. You can insert specific fields like checkboxes, drop-down lists, and restricted text boxes, ensuring the person filling out the form can only enter data exactly where you want it.
How to Enable the Developer Tab
By default, the tools required to create fillable forms are hidden from the standard Word ribbon to prevent confusing casual users. Your first step is to unhide this tab.
- Open Microsoft Word.
- Click on File in the top left corner, then select Options at the bottom of the menu.
- In the Word Options window, select Customize Ribbon from the left-hand sidebar.
- On the right side of the window, look at the list under ‘Main Tabs’. Scroll down and check the box next to Developer.
- Click OK.
You will now see a new “Developer” tab at the top of your screen, situated between View and Help.
How to Insert Form Controls
With the Developer tab enabled, you can begin transforming your standard document into an interactive form.
- Type the framework of your document first (e.g., “First Name:”, “Date of Birth:”, “Please select a department:”).
- Place your cursor exactly where you want the user to input their data.
- Click on the Developer tab.
- Locate the Controls group. This section contains various icons representing different types of input fields.
Types of Controls You Can Use:
- Plain Text Content Control (Aa icon): Best for simple, unformatted text like a name or phone number.
- Rich Text Content Control (Aa icon): Allows the user to bold, italicise, or change the colour of their inputted text.
- Check Box Content Control (Square with a checkmark): Inserts a clickable box.
- Combo Box Content Control (Drop-down list icon): Allows users to select from a list of predefined options you create.
- Date Picker Content Control (Calendar icon): Opens a small calendar pop-up, ensuring the user inputs a valid date format.
How to Customise Drop-Down Lists
If you insert a Combo Box (drop-down list), you must populate it with the choices you want the user to select from.
- Insert the Combo Box into your document.
- Click on the inserted control box so it is highlighted.
- In the Developer tab, click Properties.
- In the Content Control Properties window, look at the bottom section titled ‘Drop-Down List Properties’.
- Click the Add… button to input your first choice (e.g., “Sales”).
- Repeat the process to add all remaining choices (e.g., “Marketing”, “Human Resources”).
- Click OK to save the list.
How to Lock the Form
The most important step is restricting the document so users can only interact with the grey form fields and cannot accidentally delete your questions or alter the main text.
- Click the Developer tab.
- In the Protect group, click Restrict Editing. A sidebar will open on the right.
- Check the box under ‘Editing restrictions’ that says Allow only this type of editing in the document.
- From the drop-down menu directly below it, select Filling in forms.
- Click the Yes, Start Enforcing Protection button.
- You will be prompted to enter a password. While optional, adding a password prevents users from disabling the protection. Enter a password and click OK.
Your document is now a locked, fillable form ready to be distributed.
