Transmitting corporate proposals, legal settlement briefs, academic manuscripts, or sensitive financial disclosures via Microsoft Word (.docx) frequently exposes confidential internal communications. Standard Word files retain extensive hidden metadata—including original author usernames, file paths, tracked revision history, deleted comments, printer properties, and hidden XML data parts. Sending an unsanitized document externally can leak strategic business discussions or violate compliance regulations. Microsoft Word includes the Document Inspector to sanitize and scrub confidential metadata prior to distribution.
Categories of Hidden Metadata Stored in Word Files
The Document Inspector systematically audits several hidden document elements:
- Comments & Revisions: Tracked editorial changes, strike-through revisions, and reviewer comments.
- Document Properties and Personal Information: Author name, organization, manager, template paths, total editing time, and creation dates.
- Custom XML Data: Embedded business schemas and form datasets stored inside the OOXML package container.
- Headers, Footers, and Watermarks: Hidden page headers that remain dormant in specific section breaks.
- Hidden Text: Paragraphs formatted with font property Hidden that do not render on standard print layouts.
Running Document Inspector in Microsoft Word
To audit and sanitize a completed document:
- Open your document in Microsoft Word.
- Click the File tab in the upper-left corner of the ribbon.
- In the Info panel, locate the Inspect Document section.
- Click the Check for Issues button and select Inspect Document.
- If your document has unsaved edits, Word prompts you to save the file before proceeding.
- The Document Inspector dialog lists all available inspection categories with checkboxes. Keep all categories selected to ensure a thorough audit.
- Click Inspect.
Removing Identified Confidential Data
Once the audit completes, Document Inspector flags categories containing sensitive findings with an exclamation mark:
- Review the inspection results for flagged items (such as Document Properties and Personal Information).
- Click the Remove All button next to each flagged category you wish to sanitize.
- Word permanently strips the author credentials, comments, and revision logs from the document file structure.
- Click Re-inspect to verify that all sensitive components have been eliminated.
- Click Close.
Enabling Automatic Metadata Stripping on Save
To ensure that personal metadata is never accidentally saved into the file in future revisions:
- In Word, navigate to File > Options.
- Select Trust Center in the left pane and click Trust Center Settings.
- Select Privacy Options.
- Under Document-specific settings, check the box labeled Remove personal information from file properties on save.
- Click OK. Word will now scrub author metadata automatically every time the file is saved.
