In legal proceedings, academic manuscripts, poetry reviews, and collaborative document editing, referencing precise text positions is critical. Rather than citing page numbers and paragraph estimates, line numbering places an incremental reference number beside each line of text in the left margin. Microsoft Word includes built-in line numbering tools that allow you to number an entire document continuously, restart numbering on each fresh page, or isolate specific sections.
Enabling Continuous or Page-by-Page Line Numbering
Line numbering settings in Microsoft Word are managed through the Layout ribbon tab and apply dynamically to the print layout view.
- Open your document in Microsoft Word.
- Click the Layout tab on the top ribbon toolbar.
- In the Page Setup group, click the Line Numbers drop-down menu.
- Select your preferred numbering structure:
- Continuous: Numbers all lines consecutively from the beginning to the end of the entire document (e.g. lines 1 to 500+).
- Restart Each Page: Resets the counter back to 1 at the top of every new page. This is the standard format for legal briefs and court pleadings.
- Restart Each Section: Resets the counter back to 1 whenever a section break occurs in your document.
Word immediately recalculates the margins and displays small grey reference numbers along the left edge of each line. Note that line numbers appear only in Print Layout view (View > Print Layout) and in printed copies or exported PDF files; they do not appear in Web Layout view.
Suppressing Line Numbers for Specific Paragraphs or Headings
Documents often contain title pages, abstract headers, block blockquotes, or appendices that should not be counted. You can exclude specific blocks of text without disrupting the overall sequence.
- Highlight the paragraph or heading you want to exclude from line counting.
- Go to the Layout tab on the ribbon.
- Click Line Numbers and choose Suppress for Current Paragraph.
Word removes the numbers from the selected text block while automatically resuming consecutive numbering on the subsequent paragraph.
Customising Number Intervals and Margin Distance
If numbering every individual line creates visual clutter, you can configure Word to display numbers only every fifth or tenth line (e.g. 5, 10, 15, 20).
- On the Layout tab, click Line Numbers and select Line Numbering Options… at the bottom of the menu.
- In the Page Setup dialogue box, ensure you are on the Layout tab and click the Line Numbers… button near the bottom.
- In the sub-dialogue, verify that Add line numbering is checked.
- Adjust Count by: to your desired interval (for example, set it to
5to display line numbers at every fifth line). - Specify the From text: distance (or leave as Auto) to control the margin gap between the numbers and your sentences.
- Click OK twice to confirm the changes.
Removing Line Numbers from a Document
When line reference numbers are no longer required prior to final distribution or publishing, you can remove them instantly across the entire document:
- Navigate to the Layout tab.
- Click the Line Numbers drop-down button.
- Select None. All margin line counters will be stripped cleanly from the document.
