Modern remote and hybrid workflows thrive on spontaneous communication. When a complex bug arises during development, a client asks an urgent question, or team members need a quick visual sync to align on design layouts, drafting formal calendar invitations with start times and RSVP confirmations creates unnecessary bureaucracy and delays resolution.
To support real-time impromptu collaboration, Microsoft Teams includes Meet Now. Meet Now allows you to spin up a fully featured, instant video and audio meeting in a single click—from your primary Calendar tab, within an active 1:1 or group chat, or directly inside a dedicated project channel—without creating a calendar appointment beforehand.
Where Can You Use Meet Now in Teams?
Microsoft Teams provides three primary entry points for launching instant meetings, each serving a different collaboration dynamic:
- From the Calendar View: Launches a standalone ad-hoc meeting room where you can generate a shareable link or dial in specific colleagues on the fly.
- Inside a Channel: Starts an open video call within a specific team channel. Every member of that channel receives a notification and can drop in freely.
- Inside a Group Chat: Immediately rings all current members of the chat thread, converting written messaging into a collaborative face-to-face screen-sharing session.
Method 1: Launching Meet Now from the Calendar Tab
This is the most common way to start an ad-hoc meeting with mixed participants or external clients who are not part of an existing chat channel.
- Open the Microsoft Teams desktop client or web application.
- Click the Calendar icon on the left-hand navigation rail.
- In the top-right corner of the calendar window, click the Meet now button (represented by a video camera icon).
- A configuration dialogue opens. You can enter a descriptive meeting name (e.g. “Urgent Sprint Triage”).
- Choose your connection path:
- Get a link to share: Generates a direct meeting URL that you can copy and paste into an email, Slack channel, or text message.
- Start meeting: Launches the pre-join audio and video configuration screen immediately.
- In the pre-join window, adjust your webcam, background filters, and microphone, then click Join now.
- Once inside the meeting, Teams opens the People panel automatically, prompting you to invite attendees or copy the meeting link to your clipboard.
Method 2: Starting a Channel Meeting with Meet Now
When you want to collaborate with members of a specific team without ringing individuals privately, start a channel meeting:
- Click the Teams icon on the left navigation bar.
- Select your team and click on the specific Channel (e.g. Marketing Strategy).
- In the upper-right corner of the channel header, click the Meet button (or the dropdown arrow next to Meet and select Meet now).
- Add a subject title for the discussion so team members browsing the channel know what the call is about.
- Click Join now.
A prominent video call banner appears inside the channel’s message feed showing who has joined. Any team member can click Join at any time to enter the session, creating a natural open-door virtual office experience.
Method 3: Escalating an Active Chat to an Instant Call
If you are exchanging messages with colleagues in a direct 1:1 or group chat and realise the topic is too complex for text:
- Open the active conversation in your Chats tab.
- In the upper-right corner of the chat header, click either the Video call or Audio call button.
- Teams rings all members of the chat group simultaneously.
- When attendees answer, you immediately transition into full video conferencing with screen-sharing and whiteboard tools enabled.

Even though Meet Now meetings are started spontaneously, they include the complete suite of enterprise Microsoft Teams capabilities:

Managing Meet Now Permissions and Security
If you generate a Meet Now link to share with external clients or contractors, you can maintain control over access:
- Lobby Controls: Inside the meeting, click More > Settings > Meeting options. You can configure whether external guests bypass the lobby automatically or wait until you manually admit them.
- Recording Governance: Channel Meet Now recordings are automatically stored in the team’s SharePoint document library, while ad-hoc Calendar Meet Now recordings are saved to the initiator’s OneDrive for Business.
