Hosting high-profile company broadcasts, client webinars, or executive panel discussions requires backstage coordination before going live to attendees. The Green Room in Microsoft Teams provides a private virtual staging area where organisers, presenters, and external keynote speakers can test cameras, check microphone clarity, format shared slide decks, and align on timing while general attendees wait in a secure holding area.
What is the Microsoft Teams Green Room?
In standard meetings, attendees enter the main video conference immediately, witnessing technical adjustments, audio checks, and slide formatting. When the Green Room is active, Teams partitions the event into two concurrent environments:
- The Green Room (Backstage): Organisers, co-organisers, and designated presenters communicate freely. Their video feeds, microphones, and screen shares remain completely invisible and inaudible to general attendees.
- The Attendee Waiting Area: Attendees see a welcome screen displaying the meeting title, scheduled start time, and general webinar status until an organiser explicitly clicks Start meeting.
- Split Chat Streams: Presenters can communicate using a private dedicated presenter chat or broadcast announcements to the global attendee audience.
Licensing and Pre-requisites
The Green Room feature is available for Microsoft Teams Webinars and Town Halls with a Teams Premium licence or supported Microsoft 365 Enterprise plans. The feature must be enabled by the meeting organiser during the event scheduling phase.
How to Enable Green Room When Scheduling an Event
- Open the Microsoft Teams desktop client or web application.
- Navigate to the Calendar tab.
- Click the dropdown arrow next to New meeting and select Webinar (or Town hall).
- Enter event details, including meeting title, date, time, and external presenter email addresses.
- Click Meeting options (or Manage event > Meeting options).
- Locate the Enable Green Room setting toggle.
- Switch the toggle to Yes.
- Click Save and send the webinar invitations.
| Participant Role | Access to Green Room | Capabilities Before Broadcast |
|---|---|---|
| Organisers & Co-organisers | Full Access | Manage lobby, admit presenters, initiate public broadcast, toggle recording. |
| Designated Presenters | Full Access | Speak, share webcams, pre-load PowerPoint Live presentations. |
| General Attendees | No Access | Held in virtual lobby until broadcast begins. Microphones and cameras disabled by default. |
Managing the Green Room During Live Execution
When organizers and presenters join the scheduled event, a prominent banner appears across the top of the meeting stage reading: “You’re in the Green Room. Attendees can’t see or hear you yet.”
1. Testing Media and Hardware
Presenters can unmute and speak freely. Use this time to inspect camera lighting, test custom background blur, and ensure external lapel microphones are selected under Device settings.
2. Pre-loading Presentations with PowerPoint Live
Click the Share button and choose PowerPoint Live. Loading your presentation inside the Green Room caches slides in advance so you can navigate directly to the title slide without screen flicker when going live.
3. Using the Private Presenter Chat
Inside the meeting controls, click Chat. You can switch between Meeting chat (visible to everyone once live) and Presenter chat (permanently restricted to backstage staff for troubleshooting technical issues during the session).
4. Transitioning to Live Broadcast
When all presenters are ready and technical checks are complete:
- The organizer clicks the purple Start meeting button located in the top banner.
- A confirmation prompt will ask: “Are you sure you want to start the meeting?”
- Click Start. The Green Room dissolves, attendees are admitted automatically, and audio/video feeds become live.
Troubleshooting Green Room Issues
- Presenters placed in the attendee holding area: If an invited presenter lands in the attendee queue instead of backstage, verify that their user role was explicitly designated as Presenter in meeting settings rather than Attendee.
- Green Room toggle is unavailable: Confirm that your Microsoft 365 tenant holds active Teams Premium licences and that IT administrators have not blocked backstage features in the Teams Admin Centre under meeting policies.
- Accidental early broadcast: Clicking Start meeting cannot be undone. Once the meeting transitions live, you cannot push attendees back into a holding room without ending the session.
