In distributed global enterprises, virtual conferences frequently bring together participants who speak different native languages, work in noisy open-office environments, or experience auditory impairments. Microsoft Teams integrates automated speech recognition (ASR) and cloud-powered neural machine translation to deliver instantaneous Live Captions and Live Translated Captions. This capability transcribes spoken dialogue in real time and renders on-screen subtitles in each participant’s preferred language without disrupting other attendees.
Meeting Prerequisites and Licensing Requirements
Live Captions with spoken language detection are available across standard Microsoft 365 enterprise licenses (Business Basic/Standard/Premium, Office 365 E1/E3/E5). However, Live Translated Captions (translating spoken English into Spanish, Japanese, or French in real time for an individual attendee) requires one of the following:
- Teams Premium License: If the meeting organizer holds a Microsoft Teams Premium add-on license, all attendees inherit real-time translation capabilities during that meeting.
- Copilot for Microsoft Teams: Users with Microsoft 365 Copilot licenses can access live translation during transcription-enabled meetings.
- Admin Policy Approval: The Teams administrator must enable
TranscriptionandLiveCaptionswithin the Teams Admin Center under Meetings > Meeting Policies.
Enabling Live Captions During a Meeting
To turn on live captions on desktop (Windows or macOS):
- Join your scheduled Microsoft Teams video or audio call.
- In the meeting controls bar at the top of the window, click More (the three dots icon).
- Navigate to Language and speech.
- Select Turn on live captions.
- Teams immediately begins transcribing spoken audio at the bottom of the video window, displaying speaker names and profile avatars alongside accurate timestamps.
Changing Spoken Language for Accurate Transcription
If the meeting participants speak a language other than standard US English, the spoken language must be configured so the speech recognition engine uses the correct acoustic model:
- Locate the caption window at the bottom of your screen.
- Click the three dots (Caption settings) located on the right edge of the caption pane.
- Select Change spoken language.
- Choose the primary language spoken by participants (such as German, Spanish, Japanese, Hindi, or French).
- Click Confirm. All participants who have live captions enabled will now receive transcriptions calibrated for the selected language.
Configuring Real-Time Translated Captions
To translate the spoken dialogue into your personal language without affecting what other attendees see:
- Ensure live captions are actively running.
- In the caption pane, click the three dots (Caption settings).
- Click Subtitles (or Translate to).
- Select your desired target language from the extensive list of supported languages (e.g., German, Mandarin, French, Spanish, Tamil, or Arabic).
- Teams instantly translates incoming speech into your selected language, rendering smooth translated subtitles on your screen in real time.
Customizing Caption Formatting and Window Position
To improve readability across different display sizes:
- Within Caption settings > Caption styles, adjust font size (Small, Medium, Large) and subtitle text color (White on Black, Black on White, Yellow on Black).
- Increase the maximum number of visible caption lines (from 2 up to 4 lines) to prevent fast speakers from overflowing text too quickly.
- Position captions below the active video grid or dock them to the side panel alongside meeting notes.
