How to Change Your Status to Appear Offline in Microsoft Teams

In modern remote and hybrid workplace environments, digital presence indicators can create constant pressure to reply instantly to incoming messages. When you need dedicated deep-focus time to finish urgent reports, review contracts, or manage projects without colleagues assuming you are freely available for ad-hoc video calls, broadcasting a green “Available” status badge can be counterproductive. Microsoft Teams includes a native “Appear offline” presence state that lets you stay logged into the desktop client, review files, and compose messages while appearing completely logged out to coworkers.

What Happens When You Appear Offline in Teams?

Setting your presence to Appear offline alters your account’s visibility across your organization’s entire Microsoft 365 tenant:

  • Your avatar icon displays a neutral grey outline or an empty circle with an “x”, identical to your profile when your computer is powered off or logged out.
  • Colleagues will see your status listed as Offline in direct chats, team channels, and meeting attendee rosters.
  • You continue to receive chats, channel notifications, and emails normally in the background.
  • If you send a message to a colleague while appearing offline, Teams will deliver the message immediately without resetting your status back to “Available”.

Method 1: Setting Appear Offline on Desktop (Windows and Mac)

To change your presence status using the Microsoft Teams desktop app or web browser:

  1. Open Microsoft Teams on your computer.
  2. Click on your Profile picture or initials located in the upper-right corner of the Teams window.
  3. Hover over your current presence badge (such as Available, Busy, or Do not disturb).
  4. A dropdown list of presence states will appear. Scroll to the bottom and click Appear offline.

Your presence indicator will instantly switch to grey. You can now work quietly without alerting coworkers that you are currently seated at your workstation.

Method 2: Setting Appear Offline via the Mobile App (iOS and Android)

If you are reviewing messages on the go and wish to remain discreet:

  1. Open the Microsoft Teams app on your iPhone or Android phone.
  2. Tap your Profile picture in the top-left corner of the screen.
  3. Tap on your current status indicator.
  4. Select Appear offline from the list.

Method 3: Quick Command via the Search Bar

Power users can change their status without navigating menus by using slash commands:

  1. Click into the top search box in Microsoft Teams (or press Ctrl + E on Windows or Cmd + E on Mac).
  2. Type /offline and press Enter.
  3. Teams immediately switches your presence to Appear offline. When you are ready to resume normal visibility, type /available into the search box and press Enter.

Appear Offline vs. Do Not Disturb: When to Use Which?

Understanding the distinction between these two focus tools is essential:

  • Do Not Disturb: Displays a prominent red badge with a white dash. It informs colleagues you are working but silences all incoming notifications and pop-up banners. Use this when presenting your screen during calls.
  • Appear Offline: Displays a neutral grey icon. Notifications continue to arrive silently, but colleagues believe you are away from your desk or off the clock. Use this when catching up on backlog tasks without interruptions.
