How to Show and Customise Formatting Marks in Microsoft Word

When working on complex reports, academic essays, or corporate document templates in Microsoft Word, unexpected layout shifts—such as lines jumping to the next page or uneven paragraph spacing—are almost always caused by invisible formatting codes. Non-printing characters, including paragraph breaks, hard spaces, line breaks, and tab characters, control layout behaviour behind the scenes. Displaying and customising these formatting marks allows you to diagnose layout discrepancies immediately and maintain precise typographic control over your document.

What Are Non-Printing Formatting Marks?

Non-printing characters are visual symbols rendered on your screen to indicate whitespace structure and document hierarchy; they never appear when the document is printed or exported to PDF. Key formatting symbols include:

  • Pilcrow (¶): Denotes a hard paragraph break created by pressing the Enter key. It carries all paragraph-level formatting rules, including line spacing, borders, and indents.
  • Middle Dot (·): Indicates a standard space bar tap. Consecutive dots reveal accidental double spaces between words.
  • Right-Pointing Arrow (→): Represents a Tab key press, indicating movement between tab stops.
  • Degree Symbol (°): Represents a non-breaking space (Ctrl + Shift + Space), which prevents two associated words or dates from breaking across lines.
  • Bent Down-Left Arrow (↵): Denotes a soft line break (Shift + Enter), which starts a new line without creating a separate paragraph block.
  • Dotted Horizontal Underline: Signifies hidden text that remains concealed during normal reading unless specifically toggled visible.

How to Toggle Formatting Marks Quickly

You can turn non-printing characters on or off instantly using either the Ribbon interface or keyboard shortcuts:

  • Via the Ribbon: Click the Home tab. In the Paragraph section, click the Show/Hide ¶ button (resembling a paragraph mark).
  • Via Keyboard Shortcut: Press Ctrl + Shift + 8 (or Ctrl + *) on Windows, or Command + 8 on Mac. Pressing the shortcut toggles the visibility state immediately.

Customising Which Formatting Marks Always Appear

Toggling the Show/Hide button activates all standard formatting symbols simultaneously, which can feel visually cluttered. If you prefer to keep certain symbols permanently visible while leaving others hidden:

  1. Click the File tab in the upper-left corner of the Ribbon, then select Options.
  2. In the Word Options dialogue box, select Display from the left-hand navigation pane.
  3. Locate the section titled Always show these formatting marks on the screen.
  4. Tick the checkboxes next to only the specific symbols you need to monitor continuously:
    • Tab characters: Displays arrows for tab indents.
    • Spaces: Displays middle dots for word spacing.
    • Paragraph marks: Shows pilcrows at paragraph ends.
    • Hidden text: Reveals text formatted with the Hidden attribute.
    • Optional hyphens: Shows hyphens that only print when a word divides across a line wrap.
    • Object anchors: Displays a small anchor icon indicating which paragraph a floating graphic or textbox is anchored to.
  5. Tick Show all formatting marks to mirror the master Show/Hide button behaviour.
  6. Click OK to apply your custom visual preferences.

Selected marks will now remain permanently illuminated on screen even when the master Show/Hide ¶ toggle on the Home ribbon is turned off.
