In fast-paced modern hybrid and remote workplaces, communicating your current availability is vital for preventing meeting interruptions, managing client expectations, and protecting focused deep-work time. While Microsoft Teams provides automated presence indicators (such as Available, Busy, Away, and Do Not Disturb), these colored dots do not explain why you are unavailable or who colleagues should contact during your absence.
Microsoft Teams includes a dedicated “Status Message” feature that displays custom explanatory text whenever colleagues message or mention you. Even better, you can schedule an automated expiry timer so your status message clears itself when you return, eliminating outdated messages left lingering days later.
Status Messages vs Presence Status: What Is the Difference?
Understanding how Teams conveys availability helps avoid communication friction:
- Presence Status: The small coloured circle indicator (Green = Available, Red = Busy/In a Call, Amber = Away) calculated automatically based on your Outlook calendar events and keyboard activity.
- Status Message: A custom written statement (up to 280 characters) that appears prominently in your profile card and as a banner atop the chat window whenever anyone types your name in a chat or @mentions you.
How to Set a Status Message in Microsoft Teams on Desktop
To configure an informative status note on Windows or macOS:
- Open Microsoft Teams.
- Click your Profile picture or initials in the top-right corner of the Teams window.
- Click the Set status message pencil icon (or click directly on your existing status message line).
- In the text box, enter your message (for example: “Deep focus block on project deliverables until 15:00. For urgent queries, please contact Sarah in Finance.”).
- If you want colleagues to see this alert immediately above their typing box before sending you a message, tick the checkbox labelled Show when people message me.
- Under the Clear status message after dropdown, select your preferred expiry window:
- Never
- 1 hour
- 4 hours
- Today
- This week
- Custom: Allows you to specify an exact calendar date and precise minute of expiry.
- Click Done to activate the message.
How to Set a Status Message on the Teams Mobile App
If you are away from your desk and need to notify colleagues using your smartphone:
- Open the Microsoft Teams app on Android or iOS.
- Tap your Profile avatar in the top-left corner.
- Tap Set status message.
- Type your message and toggle on Show when people message me.
- Tap Clear after and choose your expiration timeframe.
- Tap the checkmark (or Done) in the upper-right corner.
How Colleagues Experience Your Status Message
When someone starts composing a direct message to you or types an @mention in a public channel, Teams renders an alert banner directly above their compose bar containing your status text. This proactive heads-up discourages unnecessary pings and directs urgent matters to the designated backup contact without interrupting your workflow.
