As corporate inboxes accumulate years of correspondence, heavy email attachments, calendar invitations, and meeting transcripts, mailbox storage quotas quickly fill up. Exceeding your Microsoft Exchange or Microsoft 365 storage allocation can prevent you from sending or receiving new email messages. Rather than manually sifting through thousands of old emails to delete them one by one, Microsoft Outlook includes a powerful built-in engine: AutoArchive.
AutoArchive automatically moves older email messages, tasks, and calendar events out of your active primary mailbox and transfers them into a dedicated local Outlook Data File (.pst) or deletes expired records according to rules you define.
What Is AutoArchive and How Does It Function?
AutoArchive operates as an automated background maintenance daemon within desktop Microsoft Outlook. Based on configurable aging criteria, Outlook scans your selected folders and handles items based on their age:
- Archive to Local Storage: Moves older messages into an offline
archive.pstfile located on your local drive, freeing up valuable cloud server quota while keeping historical emails searchable in Outlook. - Permanent Deletion: Automatically purges old emails that exceed a predetermined retention threshold (such as promotional newsletters or outdated automated logs).
- Folder-by-Folder Customisation: Apply global archiving rules across your entire account, or configure custom retention periods on individual subfolders (such as keeping Sent Items for 6 months while preserving Contracts indefinitely).
Configuring Global AutoArchive Settings
Setting up your account-wide AutoArchive schedule takes only a few steps in the Outlook desktop app:
- Open Microsoft Outlook and click on the File tab in the upper-left corner.
- Select Options from the left sidebar to open the Outlook Options dialogue box.
- Click on the Advanced category.
- Scroll down to the AutoArchive section and click the AutoArchive Settings button.
- Check the box labelled Run AutoArchive every [X] days. A frequency between 7 and 14 days is ideal for active business accounts.
- Configure your preferences:
- Prompt before AutoArchive runs: Check this if you want Outlook to confirm before initiating each archiving scan.
- Delete expired items (e-mail folders only): Automatically deletes messages whose expiration date headers have passed.
- Archive or delete old items: Select whether aged messages should be moved to an archive file or permanently deleted.
- Clean out items older than: Specify the aging threshold (e.g. 3 months, 6 months, or 12 months).
- Move old items to: Click Browse to designate where your local
archive.pstfile is stored.
- Click OK to apply the configuration.
How Outlook Determines Item Age
Understanding which timestamp Outlook evaluates is vital to preventing unexpected archiving:
| Outlook Item Type | Evaluated Date Field | Archiving Trigger |
|---|---|---|
| Received Emails | Received Date / Sent Date | Calculated from the date the email arrived in your inbox. |
| Sent Items | Sent Date | Calculated from the date the email was dispatched. |
| Calendar Appointments | Event End Date | Calculated from the date the meeting concluded (recurring events archive after the final occurrence). |
| Tasks | Completion Date | Uncompleted tasks are never archived; completed tasks archive from their marked completion date. |
| Drafts | Last Modified Date | Calculated from the last time the draft was saved or updated. |
Customising AutoArchive for Individual Folders
You may want certain folders—such as Legal, Invoices, or Key Clients—to retain emails longer than standard project folders. You can easily override global settings per folder:
- In Outlook’s left-hand folder navigation pane, right-click the specific folder you wish to customise.
- Select Properties from the context menu.
- Click on the AutoArchive tab in the properties dialogue box.
- Choose between three distinct retention options:
- Do not archive items in this folder: Protects all contents within this folder from ever being archived or deleted.
- Archive items in this folder using the default settings: Inherits the global rules set in Outlook Options.
- Archive this folder using these settings: Allows you to define unique aging thresholds and custom target
.pstdestination paths exclusively for this folder.
- Click Apply and then OK.
Manually Running AutoArchive on Demand
If your mailbox quota alert is triggered and you cannot wait for the next scheduled automated cycle, you can execute an immediate manual archive:
- Click the File tab in Outlook.
- On the Info pane, click the Tools button (adjacent to Mailbox Cleanup).
- Select Clean Up Old Items (or Set Archive).
- Choose whether to archive all folders according to their AutoArchive settings or select a specific folder hierarchy manually.
- Specify the date cutoff under Archive items older than.
- Click OK to execute the archiving routine immediately.
Accessing and Searching Your Archived Emails
Archiving does not make your emails inaccessible. Once the archive routine runs, Outlook adds an Archives folder heading into your left navigation tree. You can expand this tree, browse subfolders, search message bodies using the top search bar, and forward or reply to archived emails just as you would with active items in your main inbox.
