How to Stop Microsoft Excel from Automatically Calculating Formulas

The Performance Cost of Automatic Calculations

By default, Microsoft Excel is configured to automatically recalculate every single formula in a workbook the moment you change the value of any cell. While this real-time updating is essential for small spreadsheets, it becomes a massive performance bottleneck when working with massive datasets. If your workbook contains thousands of VLOOKUPs, complex nested IF statements, or heavy array formulas, Excel will freeze and display “Calculating…” at the bottom of the screen after every single keystroke. This makes data entry virtually impossible.

How to Switch to Manual Calculation Mode

You can drastically speed up your data entry by pausing Excel’s calculation engine, allowing you to type in peace and only calculate the math when you are ready.

1. Open your heavy Microsoft Excel workbook.

2. Click on the Formulas tab in the ribbon at the top of the screen.

3. Look at the far right side of the ribbon for the “Calculation” group.

4. Click the Calculation Options button.

5. A small drop-down menu will appear. Change the selection from “Automatic” to Manual.

Triggering Calculations Manually

Once you switch to Manual mode, Excel will immediately stop freezing when you enter new data. However, you must remember that your totals, charts, and formula outputs will now display outdated information until you explicitly tell Excel to crunch the numbers.

When you have finished entering your data and are ready to update the sheet, simply press the F9 key on your keyboard. This command forces Excel to run a full calculation across the entire workbook. Alternatively, if you only want to recalculate the specific worksheet you are currently looking at (saving even more time), press Shift + F9.
