How to Insert Audio Voiceovers and Narration in PowerPoint

When you cannot present a PowerPoint slide deck in person—perhaps you are sending it as a training module to remote employees, or distributing an asynchronous project update to stakeholders in a different time zone—sending a silent file filled with bullet points is rarely effective. Without your vocal context, the audience may misinterpret the data or simply skim the slides and miss the core message. To solve this, Microsoft PowerPoint allows you to record your own voice and embed audio narration directly into individual slides, creating a self-contained, multimedia presentation that speaks for itself.

How to Record Narration on a Single Slide

If you only need to explain a complex chart on one specific slide, you can use the basic audio insertion tool.

  1. Open your PowerPoint presentation and navigate to the specific slide you want to narrate.
  2. Ensure your computer’s microphone is plugged in and recognized by Windows or macOS.
  3. Click the Insert tab on the main ribbon menu at the top of the screen.
  4. Look at the far right side of the ribbon for the “Media” group and click the Audio button (it has a speaker icon).
  5. Select Record Audio… from the dropdown menu.
  6. A small “Record Sound” dialogue box will appear. You can type a name for the recording (e.g., “Slide 4 Explanation”).
  7. Click the Red Circle (Record) button and begin speaking your explanation clearly into the microphone. You will see the counter ticking upwards.
  8. When you are finished speaking, click the Blue Square (Stop) button.
  9. (Optional) You can click the Green Triangle (Play) button to preview your recording. If you made a mistake, you can simply click the Record button again to overwrite it.
  10. Click OK.

A small speaker icon will instantly appear in the middle of your slide. You can click and drag this icon to a corner so it doesn’t obstruct your text. When a user views this slide in presentation mode, they can hover over the icon and click Play to hear your voice.

How to Record a Full Presentation with Timings

If you want to create a video-like experience where the slides automatically advance as you speak, you must use the advanced recording studio.

  1. Click the Slide Show tab on the main ribbon.
  2. Click the Record Slide Show button (it has a red circle on a monitor icon).
  3. The PowerPoint interface will transform into a full-screen recording studio. You will see a large record button at the top left, and (if you have a webcam) a small video feed of yourself in the bottom corner.
  4. Click the red Record button. A three-second countdown will begin.
  5. Start presenting exactly as if you were in front of an audience. Read your script, click the mouse to trigger animations, and click to advance to the next slide. PowerPoint records your voice and syncs it perfectly to your slide transitions.
  6. When you reach the final slide, the recording will stop automatically. (You can also press Esc to stop early).

Configuring Playback Settings

By default, if you use the basic insertion tool (Method 1), the user must manually click the speaker icon to hear your voice. To make the audio play automatically as soon as the slide appears:

  1. Click on the speaker icon on your slide to select it.
  2. A new Audio Format and Playback tab will appear on the ribbon. Click the Playback tab.
  3. Look for the “Start:” dropdown menu. Change it from “In Click Sequence” to Automatically.
  4. (Optional) Check the box labeled Hide During Show so the speaker icon becomes invisible when the presentation is actually running, making it look much cleaner.
