How to Freeze the Top Row in Excel

When you are working with a large Excel spreadsheet that spans hundreds of rows, scrolling down can become incredibly frustrating. The moment you scroll past the first few rows, your column headers disappear, leaving you guessing whether a column of numbers represents “Q1 Sales,” “Q2 Projections,” or “Employee IDs.”

Instead of constantly scrolling back up to check your headers, you can use Excel’s “Freeze Panes” feature to lock the top row in place. When frozen, the top row will remain permanently visible at the top of your screen, no matter how far down the sheet you scroll.

How to Freeze the Top Row

Locking the top row is one of the easiest formatting tricks in Excel.

1. Open your Excel spreadsheet.
2. Make sure your column headers (the labels you want to keep visible) are physically located in Row 1.
3. Click on the View tab located in the ribbon at the top of the window.
4. In the “Window” group, locate and click the Freeze Panes button. A drop-down menu will appear.
5. Select Freeze Top Row from the menu.

You will notice a thin, dark line appear directly beneath Row 1. Now, grab the scroll bar and scroll down through your data. The data in rows 2, 3, and beyond will slide underneath Row 1, while your headers remain perfectly anchored at the top.

How to Unfreeze the Top Row

If you no longer need the row locked, or if you accidentally froze the wrong row, you can easily remove the lock.

1. Click the View tab in the ribbon.
2. Click the Freeze Panes button.
3. Select Unfreeze Panes from the drop-down menu.

The dark line will disappear, and the spreadsheet will return to its normal scrolling behavior.

What If Your Headers Aren’t in Row 1?

Sometimes, spreadsheets have a large title or empty space at the top, pushing the actual column headers down to Row 3 or Row 4. If you click “Freeze Top Row,” Excel will only freeze Row 1, which isn’t helpful.

To freeze multiple rows (for example, rows 1 through 4):

1. Click on the row number directly below the rows you want to freeze. (e.g., If you want to freeze rows 1-4, click on the number 5 on the far left side of the screen to select the entire 5th row).
2. Click the View tab.
3. Click Freeze Panes.
4. Select the first option, which is simply titled Freeze Panes (do not select Freeze Top Row).

Excel will now lock everything above the row you selected, keeping your title and headers visible as you work.
