How to Fill Out PDF Forms and Add Digital Signatures in Microsoft Edge

Filling out government paperwork, medical intake forms, NDA agreements, and business contracts in PDF format historically required downloading bulky third-party software like Adobe Acrobat Reader. Modern web browsers include basic PDF readers, but Microsoft Edge goes significantly further by integrating a full-fledged PDF productivity suite. Featuring native AcroForm field recognition, text annotation, inking with stylus support, and a dedicated Digital Signature Manager, Microsoft Edge allows you to complete interactive forms and digitally sign documents directly on Windows and macOS without installing extra extensions.

Key Features of Microsoft Edge’s PDF Engine

Microsoft Edge’s built-in PDF viewer includes advanced capabilities tailored for document completion:

  • Interactive AcroForm Detection: Automatically recognizes fillable text boxes, radio buttons, drop-down choice menus, and checkboxes embedded in standard PDF forms.
  • Reusable Digital Signatures: Draw a handwritten signature with a mouse, trackpad, or touchscreen, or type a signature to save for repeated use across multiple documents.
  • Freehand Inking & Highlighting: Annotate documents using smooth digital ink with variable stroke thickness and opacity.
  • Clean Flattened Export: Save completed forms with form data permanently flattened or preserved for subsequent modifications.

Step 1: Open Your PDF in Microsoft Edge

To begin completing your form:

  1. Right-click your PDF file in Windows File Explorer or Mac Finder.
  2. Select Open with > Microsoft Edge.
  3. Alternatively, drag and drop the PDF file directly into an active Microsoft Edge browser window.

Edge loads the document, and the contextual PDF toolbar appears horizontally across the top of the viewport.

Step 2: Fill Out Interactive Form Fields

If the PDF was generated with interactive form fields:

  1. Click directly inside any highlighted text field (such as Full Name, Address, or Date).
  2. Type your information. Press the Tab key on your keyboard to navigate to the next sequential field quickly.
  3. Click checkboxes and radio options to toggle selections.
  4. For dropdown menus, click the field to reveal the selectable options and choose the appropriate entry.

Step 3: Add Text to Non-Interactive (Flat) PDF Forms

If you are working with an older, scanned, or non-interactive PDF that lacks fillable fields, use Edge’s Add Text tool:

  1. On the top PDF toolbar, click the Add Text button (the T icon).
  2. Click anywhere on the document where you need to enter information.
  3. Type your response.
  4. Use the floating text toolbar to adjust font size, change text colour, or increase character spacing to align precisely with printed form lines.
  5. Click and drag the edge of the text box to reposition it perfectly over the blank form lines.

Step 4: Create and Save a Reusable Digital Signature

To sign documents securely:

  1. Click the Add signature icon (represented by a fountain pen) in the top PDF toolbar.
  2. Click Create signature from the drop-down menu.
  3. In the signature creation window:
    • Draw Signature: Use your mouse, laptop trackpad, or stylus pen on a touchscreen to draw your natural handwritten signature.
    • Type Signature: Type your legal name and choose from stylized cursive fonts.
  4. Check the box labelled Save signature if you want Edge to remember this signature for future documents.
  5. Click Save.

Step 5: Place Your Signature on the Document

With your signature saved:

  1. Click the Add signature button on the toolbar again.
  2. Select your saved signature from the list.
  3. Move your cursor over the document. Your signature appears as a floating outline.
  4. Click on the designated signature line to stamp it onto the page.
  5. Use the corner handles to resize the signature proportionally, or click the trash icon if you need to reposition it.

Step 6: Save and Export the Completed Document

Once all fields and signatures are in place, save your document properly:

  • Save in Place (Ctrl + S / Cmd + S): Updates the original PDF file with your completed responses.
  • Save As / Print to PDF: Click the Save As icon (the floppy disk with a pencil) or click Print and select Microsoft Print to PDF. Printing to PDF permanently flattens all text layers and signatures, preventing recipients from tampering with or altering your signed details.

Security Best Practice: Protecting Saved Signatures

If you share your computer with family members or colleagues, avoid saving sensitive signatures on shared user profiles. You can delete stored signatures at any time by clicking Add signature on the PDF toolbar and clicking the small X next to any saved signature profile.
