Like most modern software, Microsoft Word relies heavily on telemetry—referred to by Microsoft as “Diagnostic Data.” As you type, format, and interact with documents, Word continuously collects data about how you use the application, which features you click, the hardware you are running on, and any errors you encounter. This telemetry is quietly packaged and sent to Microsoft servers in the background to help their engineers identify bugs and improve future versions of the software.
While Microsoft states this data is anonymized, corporate environments, legal firms, and privacy-conscious users often object to their software quietly communicating with external servers. Depending on the level of diagnostic data enabled, telemetry logs can inadvertently capture snippets of your document content or internal file paths during a crash report. If you require a strict, air-tight working environment where your word processor does not phone home, you can completely disable telemetry in Microsoft Word.
Why Disable Telemetry in Microsoft Word?
Consider the following reasons for halting diagnostic data collection:
- Data Sovereignty and Compliance: Strict regulatory frameworks (like GDPR or HIPAA) often require organizations to maintain absolute control over all data streams leaving their network.
- Privacy Protection: Disabling telemetry ensures that no metadata about your working habits, typing speed, or feature usage is transmitted to a third party.
- Network Bandwidth: In highly constrained network environments, stopping the constant trickle of background diagnostic uploads can conserve valuable bandwidth.
How to Turn Off ‘Telemetry’ (Diagnostic Data) in Microsoft Word
Microsoft allows users to manage their privacy settings directly within the Trust Center of the Word application, allowing you to opt out of optional diagnostic data collection.
- Open Microsoft Word on your PC.
- Click on File in the top-left corner of the ribbon menu.
- Select Options at the very bottom of the left-hand pane.
- In the Word Options window, select Trust Center from the left menu.
- Click on the Trust Center Settings… button on the right side.
- In the Trust Center window, select Privacy Options from the left menu.
- Click on the Privacy Settings… button.
- Scroll down to the Diagnostic Data section.
- Uncheck the box that says Send optional diagnostic data about Office to Microsoft.
- Click OK on all open windows to apply the changes.
Note: Microsoft Word will still send a minimal amount of “Required” diagnostic data necessary to keep the software secure (such as license validation). To block absolutely all telemetry, system administrators must utilize strict Windows Firewall rules or Group Policy Objects (GPOs) to block Microsoft’s telemetry IP addresses at the network level.
