When you begin typing a name into the “To” or “Cc” field of a new email in Microsoft Outlook, a dropdown menu instantly appears containing a list of suggested email addresses. This is not your official address book; it is a hidden, algorithmic cache called the “Auto-Complete List.” Outlook silently memorizes every single email address you have ever successfully sent a message to and permanently stores it in this hidden file.
While this saves a few keystrokes, it is the number one cause of disastrous email leaks in corporate environments. If you frequently email a coworker named “David Smith” and a vendor named “David Jones,” hastily typing “David” and hitting Enter will often select the wrong autocomplete entry, causing you to accidentally email highly confidential internal documents to an external vendor. Furthermore, if an employee leaves a company and their email address is deactivated, the Auto-Complete List will retain the dead email address indefinitely, causing future emails to bounce unless you manually purge the cache. To absolutely guarantee that you only send emails to the specific people you intentionally select from your official address book, you must completely disable the Auto-Complete List.
Disabling the Auto-Complete List in Outlook Desktop
You can turn off this algorithmic suggestion engine and completely purge the hidden cache from within the Outlook Options menu.
- Open the Microsoft Outlook desktop application.
- Look at the main menu ribbon at the top of the screen and click on File (in the top-left corner).
- Scroll to the absolute bottom of the left-hand blue sidebar and click on Options.
- A new Options window will appear. In the left-hand menu, click on Mail.
- Scroll down the main panel until you find the section labelled “Send messages.”
- Look for a checkbox labelled Use Auto-Complete List to suggest names when typing in the To, Cc, and Bcc lines.
- Completely uncheck this box to disable the feature.
- Directly beside the checkbox, click the button labelled Empty Auto-Complete List. This will permanently destroy the hidden cache of memorized addresses, preventing them from ever reappearing if the feature is accidentally turned back on.
- Click OK at the bottom of the window to save your changes.
The change takes effect immediately. The next time you compose a new email, the “To” field will remain completely blank as you type. You must now either type the full email address manually or click the “To” button to deliberately select a verified contact from your official Global Address List (GAL), ensuring a rogue algorithm never dictates who receives your sensitive communications.
