How to Completely Disable ‘Auto-Complete List’ (Suggested Contacts) in Microsoft Outlook

Microsoft Outlook includes a highly aggressive caching feature known as the Auto-Complete List. Whenever you send an email to a new address, Outlook silently saves that address to a hidden internal cache. The next time you begin typing a name in the “To:” field, Outlook will instantly produce a dropdown list of suggested contacts based on that hidden cache, completely bypassing your actual corporate address book.

While this is designed to save time, it is the number one cause of catastrophic data breaches in corporate environments. If you frequently email two people with the same first name (e.g., “David” from your internal HR department, and “David” from an external vendor), the Auto-Complete List will often confidently suggest the external vendor as the first option. If you are rushing and hit Enter, you will instantly send a highly confidential internal document to a third party. To guarantee that you are forced to consciously select the correct recipient from the official Global Address List every single time, you must completely disable the Auto-Complete cache.

Disabling the Auto-Complete List via Outlook Options

You can instantly kill the suggestion engine and wipe the existing hidden cache directly from the application’s core settings menu.

  1. Open the Microsoft Outlook desktop application.
  2. Look at the main menu ribbon at the top of the screen and click on File (in the top-left corner).
  3. Scroll to the absolute bottom of the left-hand blue sidebar and click on Options.
  4. A new Options window will appear. In the left-hand menu, click on Mail.
  5. Scroll down the main right-hand panel until you locate the section labelled Send messages.
  6. Find the checkbox labelled Use Auto-Complete List to suggest names when typing in the To, Cc, and Bcc lines.
  7. Completely uncheck this box.
  8. Crucial Step: Click the button directly next to it labelled Empty Auto-Complete List. This permanently purges the hidden cache of all historically saved, unverified email addresses.
  9. Click Yes to confirm the deletion, then click OK at the bottom of the window to save your changes.

The change takes effect instantly. The next time you compose a new email and begin typing a name in the “To:” field, absolutely nothing will pop up. You must either type the full email address manually, or click the “To…” button to explicitly select the verified recipient from your official corporate address book, eliminating the risk of accidental autocomplete data leaks.
