How to Automatically Move Emails from Specific Senders to a Folder in Outlook

Managing a busy Microsoft Outlook inbox can quickly become overwhelming if every newsletter, internal company memo, and client request lands in the same place. The most effective way to maintain “Inbox Zero” is to automate the sorting process. By using Outlook’s powerful Rules engine, you can instruct the application to intercept incoming emails from specific people, domains, or mailing lists and automatically route them directly into designated subfolders, keeping your primary inbox reserved only for the most urgent correspondence.

Step 1: Create Your Destination Folders

Before you can tell Outlook where to send the emails, the destination folders must exist.

  1. Open the Microsoft Outlook desktop application or Outlook on the web.
  2. In the left-hand navigation pane, locate your primary inbox.
  3. Right-click on Inbox (or your email address root folder) and select New Folder.
  4. Type a descriptive name for the folder (e.g., “Project Alpha”, “Newsletters”, “Invoices”) and press Enter.
  5. Repeat this process for every category of email you wish to automatically sort.

Step 2: Create a Rule from an Existing Email

The fastest and most reliable way to create a sorting rule is to base it on an email that has already arrived from the sender you want to target.

  1. Locate an email in your inbox from the sender you want to automatically move.
  2. Right-click the email.
  3. In the context menu, hover over Rules, then click on Always Move Messages From: [Sender Name].
  4. A “Rules and Alerts” dialog box will appear, presenting a list of all your folders.
  5. Scroll through the list and click on the destination folder you created in Step 1.
  6. Click OK.

Outlook will immediately move the email you clicked on into the specified folder. More importantly, it saves the rule; any future emails arriving from that exact email address will bypass the inbox and drop directly into the folder.

Step 3: Creating Advanced Rules (Optional)

If you need to sort emails based on criteria more complex than just the sender’s address—such as catching all emails from a specific company domain, or routing emails based on keywords in the subject line—you must use the advanced Rules Wizard.

  1. Navigate to the Home tab on the top ribbon.
  2. Click the Rules button (usually located in the “Move” section).
  3. Select Manage Rules & Alerts… from the dropdown menu.
  4. Click the New Rule… button in the top left corner of the dialog box.
  5. Under the “Start from a blank rule” section, select Apply rule on messages I receive and click Next.
  6. Check the box for with specific words in the sender’s address. At the bottom of the window, click the blue underlined text to type in a domain name (e.g., @contoso.com), then click Next.
  7. Check the box for move it to the specified folder. Again, click the blue underlined text at the bottom to choose your destination folder.
  8. Click Finish, then Apply.

This advanced method ensures that even if a new employee from that company emails you, their message will still be accurately sorted based on their corporate domain.
