In Microsoft Teams, channels serve as dedicated workspaces where project members collaborate on specific initiatives, departments, or workflows. While standard channels provide Posts and Files tabs by default, centralising project execution often requires immediate access to live tracking spreadsheets, design dashboards, company intranets, and cloud services. Adding and customising channel tabs allows team owners and members to pin essential documents, tools, and web applications directly into the channel canvas.
Understanding Default and Custom Channel Tabs
Every channel in Microsoft Teams features a horizontal tab ribbon across the top of its conversation canvas:
- Posts Tab: The primary communication stream for threaded discussions, announcements, and integrated bot notifications.
- Files Tab: The underlying SharePoint document library folder dedicated to the channel, holding uploaded attachments and documents.
- Custom Application Tabs: Embedded interactive surfaces that can display Microsoft 365 cloud files (Word, Excel, PowerPoint), business intelligence dashboards (Power BI), task boards (Planner), or external web applications.
Adding an Office Document or Spreadsheet as a Channel Tab
If your project relies on a central status tracker or schedule that multiple team members edit regularly, pinning it as a dedicated tab eliminates the need to search through file hierarchies:
- Open Microsoft Teams on desktop or web.
- In the left sidebar, navigate to your team and select the desired channel.
- Click the + (Add a tab) icon located to the right of your existing tabs.
- From the tab gallery modal, select the relevant Office application (for example, Excel, Word, or PowerPoint).
- Browse through the channel’s SharePoint folder structure and select the specific file you wish to pin.
- Enter a descriptive tab name in the input field (e.g., “Project Master Schedule”).
- Optionally check the box for Post to the channel about this tab to notify team members in the main thread.
- Click Save. The document opens immediately inside Teams, providing live co-authoring capabilities directly within the channel window.
Embedding Web Applications and Intranet Dashboards via the Website Tab
You can also embed third-party project management portals, internal wikis, or cloud analytics directly into a channel:
- Click the + button at the top of the channel.
- Search for and select the Website app tile.
- In the configuration dialog, specify a Tab name (such as “Staging Environment” or “Sprint Dashboard”).
- Enter the complete destination URL. The URL must strictly use the secure
https://protocol and permit iframe embedding (sites that set anX-Frame-Options: DENYheader cannot load inside Teams). - Click Save. Teams renders the web interface seamlessly inside the channel tab.
Renaming, Reordering, and Managing Channel Tabs
To keep channel workspaces organised as projects evolve:
- Renaming a Tab: Click the small downward arrow next to the tab name and select Rename. Enter the updated label and click Save.
- Reordering Tabs: Click and hold any custom tab title, then drag it horizontally across the header bar to re-sequence its display position. (Note: The default Posts and Files tabs always remain anchored at the far left).
- Removing a Tab: Click the dropdown arrow beside the tab name and choose Remove. Confirm the removal prompt. Removing a document tab detaches the pinned view but does not delete the underlying file from your SharePoint repository.
Configuring Channel Tab Permissions
Team owners can regulate whether standard members are allowed to add, modify, or remove tabs:
- Click the three-dot More options (…) menu next to the team name in the left navigation panel and select Manage team.
- Switch to the Settings tab.
- Expand the Member permissions section.
- Uncheck the option labelled Allow members to create, update, and remove tabs if you wish to restrict tab customisation strictly to team owners and administrators.
