When you take time off for a holiday, sick leave, or a conference, it is essential to manage the expectations of colleagues and clients trying to schedule meetings with you. If you simply ignore meeting invitations, the sender might assume you have overlooked them and send follow-up emails, creating unnecessary clutter in your inbox. Google Calendar includes a dedicated “Out of Office” feature that automatically declines new meeting requests and sends a customisable auto-reply message, ensuring everyone knows you are unavailable and when you will return.
How Out of Office Differs from Standard Events
You can block time on your calendar by creating a standard event and setting your status to “Busy,” but this requires the meeting organiser to manually check your calendar before inviting you. The Out of Office feature is proactive. When someone invites you to an event that overlaps with your Out of Office block, Google Calendar intercepts the invitation and immediately declines it on your behalf, sending your predefined message back to the organiser.
Setting Up Your Out of Office Auto-Reply
You can configure your Out of Office schedule in advance or set it up right as you are leaving.
- Open Google Calendar in your web browser.
- Click on the specific date and time you will be leaving on the calendar grid. A pop-up window will appear to create a new event.
- At the top of the event creation window, click the button labelled Out of office.
- Adjust the start and end dates and times to cover your entire absence. If you will be gone for several full days, check the All day box.
- By default, the title will be “Out of office.” You can leave this or change it to something more descriptive, like “Annual Leave” or “Attending Conference.”
Configuring the Auto-Decline Settings
The most crucial part of the Out of Office setup is the automatic decline feature.
- In the event details, locate the section labelled Automatically decline meetings.
- Ensure the radio button is selected for New and existing meetings. This is vital; it means Google Calendar will decline invitations that arrive while you are away, and it will also automatically decline any meetings you previously accepted that fall within your time off.
- Below this, you will see a text box for your decline message. Google provides a generic default message, but you should customise it. Include the date you will return and, importantly, the name and email address of the colleague covering your responsibilities in emergencies.
- Click the blue Save button.
Managing Existing Meeting Conflicts
When you click Save and you selected “New and existing meetings,” Google Calendar will immediately scan your schedule for the duration of your absence. If it finds meetings you had already accepted, it will automatically decline them and send your custom message to the organisers. This saves you the tedious task of manually hunting through your calendar and declining individual meetings before you go on leave.
Syncing with Gmail Auto-Responder
It is important to note that setting an Out of Office block in Google Calendar only handles calendar invitations; it does not reply to standard emails. To ensure complete coverage, you must also enable the “Vacation responder” in Gmail. Open Gmail, click the Settings gear icon, click See all settings, scroll to the very bottom of the General tab, and configure your Vacation responder with the same dates and a similar message.
