When sharing collaborative spreadsheets with team members, clients, or students in Google Sheets, open editing permissions can lead to accidental disasters—such as deleted complex formulas, broken summary rows, or altered header names. Rather than restricting collaborators to view-only mode across the entire file, Google Sheets provides granular Protected sheets and ranges tools. This allows you to lock vital formula cells while leaving input columns open for data entry.
Protecting an Entire Sheet While Unlocking Specific Cells
The most popular workflow for collaborative templates (like expense reports or inventory trackers) is locking the whole tab except for data entry fields:
- Open your spreadsheet in Google Sheets.
- Click on the Data menu in the top toolbar.
- Select Protect sheets and ranges. A management sidebar will open on the right.
- Click + Add a sheet or range.
- Switch from the Range tab to the Sheet tab.
- Select the tab you wish to lock from the dropdown list.
- Check the box labeled Except certain cells.
- Enter the cell range where collaborators are permitted to type data (e.g.,
B2:D50). - Click Set permissions.
Locking a Specific Range of Formulas
If you only need to guard a specific calculation block, tax rate cell, or financial model summary:
- Highlight the cells or columns containing your formulas (e.g., column
E2:E100). - Right-click the selection and choose View more cell actions > Protect range (or select Data > Protect sheets and ranges).
- In the sidebar, enter a helpful description (such as “Sales Tax Formulas”).
- Click Set permissions.
Configuring Permission Restraints (Warning vs. Strict Lock)
When setting permissions, Google Sheets offers two levels of enforcement:
- Show a warning when editing this range: Does not strictly prevent changes, but presents collaborators with a popup confirmation dialog reading: “You are editing a protected range. Are you sure you want to proceed?” Ideal for cooperative teams where accidental misclicks are common.
- Restrict who can edit this range: Select Only you to completely lock out all other contributors, or choose Custom to whitelist specific team email addresses who are authorized to modify formulas.
Managing and Removing Protected Ranges
To audit or unlock previously restricted sections:
- Navigate to Data > Protect sheets and ranges.
- Click on any existing protected rule in the list.
- Modify the cell coordinates, adjust permitted collaborators, or click the Trash can icon to remove protection completely.
