How to Lock Specific Cells and Ranges in Google Sheets to Prevent Editing

Collaborating on financial spreadsheets, project trackers, or shared inventory sheets is immensely powerful in Google Sheets. However, when multiple team members or clients have edit access to a document, accidental overwrites of complex formulas, deleted summary rows, or scrambled headers can break calculations instantly. In Google Sheets, native Protected Sheets and Ranges allow you to lock down sensitive calculation cells and headers completely, restricting edit permissions solely to yourself while leaving designated data-entry cells open for collaboration.

Understanding Sheet and Range Protection Levels

Google Sheets provides two tiers of cell security depending on your workflow:

  • Strict Permission Locking: Restricts editing privileges exclusively to specific Google accounts (or only you). Unauthorised collaborators attempting to edit locked cells receive an immediate access denied alert.
  • Soft Warning Alerts: Allows collaborators to edit cells if necessary, but prompts them with a confirmation dialogue stating “Heads up! You are trying to edit part of this sheet that shouldn’t be changed accidentally” to prevent careless mistakes.
  • Exception Ranges: Allows you to protect an entire worksheet whilst punching open designated editable “holes” (such as column B2:B50) for general data input.

How to Lock a Specific Range of Cells

Protecting a specific column of formulas or header row takes just a few steps:

  1. Open your spreadsheet in Google Sheets.
  2. Highlight the exact cells or range you wish to protect (e.g., formula column D2:D100).
  3. Click on Data in the top menu bar.
  4. Select Protect sheets and ranges.
  5. In the sidebar that opens on the right side of the screen, give the protected range a clear description (e.g., “Tax Calculation Formulas”).
  6. Click the green Set permissions button.
  7. Choose between Show a warning when editing this range or Restrict who can edit this range.
  8. If restricting, select Only you from the dropdown menu, or choose Custom to whitelist trusted senior managers.
  9. Click Done. A small lock icon will appear beside the rule in the sidebar.

Locking an Entire Sheet with Editable Exceptions

If you have an invoice or budget template where 90% of the layout must remain frozen except for user input fields:

  1. In the Protected sheets & ranges sidebar, click + Add a sheet or range.
  2. Select the Sheet radio button.
  3. Choose the target sheet tab from the dropdown selector.
  4. Check the box labelled Except for certain cells.
  5. Enter the data entry ranges (e.g., B4:B10, E4:E10).
  6. Click Set permissions and select Only you.
  7. Collaborators can now freely enter values into the specified cells, but all surrounding formulas, headers, and layouts remain completely immutable.
