Google Keep is an incredibly fast, lightweight tool for jotting down quick ideas, grocery lists, or meeting notes. While it is primarily designed as a personal digital notepad, it also features surprisingly robust collaboration tools. Instead of copying and pasting your shopping list into a text message, or formally inviting someone to a massive Google Doc just to brainstorm a few bullet points, you can instantly share a Keep note with another person.
When you share a note in Google Keep, it becomes a live, collaborative document. The other person can see the note on their own device, edit the text, tick off checkboxes, and add new items in real time. It is the perfect solution for managing shared household chores or quick, informal project brainstorming sessions.
Sharing a Note on the Desktop Website
Adding a collaborator from your computer is the easiest way to share if you are already working at your desk.
- Open your web browser and navigate to keep.google.com.
- Find the specific note you want to share on your dashboard.
- Hover your mouse cursor over the note. A row of small icons will appear along the bottom edge of the note card.
- Click the Collaborator icon (it looks like a silhouette of a person with a small plus sign next to it).
- A popup window will appear. Type the email address of the person you want to share the note with. (They must have a Google Account to collaborate).
- If you want to add multiple people, press Enter after each email address and type the next one.
- Click the Save button.
The collaborator’s profile picture (or initial) will immediately appear at the bottom of the note card on your screen. The note will instantly appear on their Google Keep dashboard, and they will receive an email notification informing them that a note has been shared.
Sharing a Note via the Mobile App (iOS and Android)
If you are standing in a supermarket and suddenly remember you need your partner to add to the grocery list, you can share notes directly from your smartphone.
- Open the Google Keep app on your iPhone or Android device.
- Tap on the specific note you want to share to open it fully.
- Look at the very bottom right corner of the screen and tap the Menu icon (the three vertical dots).
- From the pop-up menu that appears, tap on Collaborator.
- A new screen will open. Type the email address of the person you want to add in the text field at the top.
- Tap Save in the top right corner of the screen.
Removing a Collaborator
If the project is over or the shopping is done, you can easily revoke access to the note. Only the original owner (the person who created the note) can remove collaborators.
- Open the shared note on either your computer or your phone.
- Tap or click on the profile picture of the collaborator at the bottom of the note.
- On the desktop, click the small “x” next to their email address. On mobile, tap the “x” next to their name.
- Click or tap Save.
The note will instantly vanish from their Google Keep account, and they will no longer have any access to the information.
