How to Share a Google Doc as a PDF

Google Docs is a phenomenal tool for collaborative writing. You can share a link with a team, and everyone can edit the document simultaneously in real-time. However, when the document is finalized—such as a formal invoice, a client proposal, or a legal contract—collaboration becomes a liability. You do not want the recipient to accidentally delete a paragraph or alter a price.

To finalize a document and freeze its formatting permanently, you must convert it into a PDF (Portable Document Format). A PDF looks identical on every computer, tablet, and smartphone, and the text cannot be easily altered. Google Docs provides two seamless ways to generate and share a PDF.

Method 1: Download and Attach (The Traditional Way)

This is the most common method. You convert the Google Doc into a physical PDF file, download it to your hard drive, and then manually attach that file to an email in Outlook, Gmail, or Apple Mail.

  1. Open your finalized document in Google Docs on a desktop web browser.
  2. Click on File in the top-left menu bar.
  3. Hover your mouse over Download.
  4. A sub-menu will appear offering various file formats. Select PDF Document (.pdf).
  5. Google Docs will instantly generate the PDF and download it to your computer’s default “Downloads” folder.
  6. Open your email client, compose a new message, and attach the newly created PDF file just as you would any other file.

Method 2: Email as Attachment (The Fast Way)

If you don’t want to clutter your hard drive with extra files, Google Docs has a brilliant feature that allows you to generate a PDF and send it via email directly from within the document interface, skipping the download step entirely.

  1. Open your document in Google Docs.
  2. Click on File in the top-left menu bar.
  3. Hover your mouse over Email.
  4. Select Email this file.
  5. A small composition window will pop up right in the middle of your screen.
    • To: Type the email address of the client or recipient.
    • Subject: Enter a professional subject line.
    • Message: Type the body of your email.
  6. Look at the very bottom of the pop-up window. Ensure the dropdown menu is set to PDF. (You can also choose Microsoft Word or Plain Text here, but PDF is the default).
  7. Click the blue Send button.

Google Docs will silently convert the file to a PDF in the background and instantly email it to the recipient from your Google account. You never have to download or manage the file on your local machine.

Why You Shouldn’t Use the “Share” Button for Final Documents

It is tempting to simply click the big blue “Share” button in the top right corner, set the link to “Viewer,” and email the link to the client. While this prevents them from editing the text, it is unprofessional for formal documents.

When a client clicks a View-Only link, they are taken to the Google Docs interface. They see all the menus, the “Request Edit Access” button, and if you log in later to fix a typo, they can watch you typing in real-time. A PDF creates a clean, static, professional final product separated entirely from the drafting process.
