If you have been using the same Google account for several years, syncing it across multiple smartphones and importing old address books, your Google Contacts list is likely a mess. You probably have three different entries for “John Smith”—one with his phone number, one with his personal email, and one with his work email. Having multiple fragmented entries makes it difficult to find the right information when you need it. Fortunately, Google Contacts includes a powerful, automated tool specifically designed to find and merge these duplicate entries into a single, clean contact card.
How to Find and Merge Duplicates Automatically
The easiest way to clean up your address book is by using the desktop web interface, as it provides a clear overview of the changes Google is about to make.
- Open your web browser, navigate to contacts.google.com, and log in to your Google Account.
- Look at the navigation menu on the left side of the screen.
- Click on the Merge and fix option (it usually has a magic wand icon next to it).
- Google will instantly scan your entire address book and present you with a list of suspected duplicates. It identifies duplicates by looking for matching names, identical phone numbers, or the same email addresses across different contact cards.
- Review the list carefully. For each suggestion, Google will show you the fragmented contact cards it plans to combine.
- If you agree with a specific suggestion, click the blue Merge button next to that individual entry.
- If you trust Google’s algorithm completely and want to save time, you can click the Merge All button at the top right of the screen to clean up your entire address book in a single click.
How to Manually Merge Contacts
Sometimes, Google’s automated scanner misses obvious duplicates, especially if one entry uses a nickname (like “Mike”) and the other uses a formal name (“Michael”), even if they share the same phone number.
To fix this, you can force Google to merge specific contacts manually:
- Go back to the main Contacts view (by clicking “Contacts” in the left sidebar).
- Hover your mouse over the profile picture (or the circular initial) of the first duplicate contact. A checkbox will appear. Click the checkbox to select that contact.
- Scroll down and check the box next to the second duplicate contact.
- Once two or more contacts are selected, a new toolbar will appear at the top of the screen.
- Click the Merge icon (an arrow pointing into a box) located on the right side of that top toolbar.
The selected contacts will immediately be combined into a single entry, combining all associated phone numbers, email addresses, and notes into one clean profile.
