How to Use Google Forms to Collect Survey Data Automatically

Whether you need to collect RSVPs for an event, gather feedback from customers, run a digital quiz for students, or collect contact information for a newsletter, manually managing emails and spreadsheets is incredibly tedious. Google Forms is a free, powerful tool that allows you to build professional surveys in minutes, automatically collecting and organizing every single response into a clean spreadsheet.

Step 1: Create a New Form

  1. Open your web browser and navigate to forms.google.com. Ensure you are signed into your Google account.
  2. Click the large Blank button featuring a colorful plus sign to start a new form from scratch. (Alternatively, you can choose from the Template Gallery at the top for common forms like “Event RSVP” or “Contact Information”).
  3. Click on the default title “Untitled form” at the top and type a descriptive name for your survey. Below it, add a brief description explaining to your respondents what the form is for and how long it will take.

Step 2: Add and Customize Questions

A new form includes one default question block. You can customize it to collect exactly the type of data you need.

  1. Click inside the box labeled “Untitled Question” and type your first question (e.g., “What is your email address?”).
  2. Look to the right of the question text. You will see a dropdown menu that dictates how the user can answer. By default, it usually says “Multiple choice.”
  3. Click that dropdown menu to see your options. The most common are:
    • Short answer: Perfect for names, emails, or single-word answers.
    • Paragraph: Best for open-ended feedback or long comments.
    • Multiple choice: Users can only select one answer from a list.
    • Checkboxes: Users can select multiple answers from a list.
    • Linear scale: Great for ratings (e.g., “Rate your experience from 1 to 5”).
  4. To add more questions, click the + (Plus) icon located on the floating vertical toolbar next to the question block.
  5. If a question is absolutely critical, toggle the Required switch at the bottom-right of the question block. Users will not be able to submit the form until they answer it.

Step 3: Customize the Design

You can make your form look more professional by adding your brand colors or a custom header image.

  1. Click the Palette icon (Customize Theme) in the top right corner of the screen.
  2. In the Theme options sidebar, you can change the font style, select a new background color, or click Choose image under the Header section to upload your own logo or select a stock photo.

Step 4: Send the Form

Once your questions are ready, it is time to distribute the survey.

  1. Click the large purple Send button in the top right corner.
  2. A dialog box will appear giving you three primary ways to share:
    • Email (Envelope icon): Type in email addresses directly to send the form via Google.
    • Link (Chainlink icon): Generates a direct URL. You can check the “Shorten URL” box to make it cleaner. Copy this link to paste it into your own emails, social media, or text messages.
    • Embed (Brackets <> icon): Provides HTML code so you can embed the form directly into your own website.

Step 5: View and Export the Results

As people fill out your form, Google automatically organizes their answers in real-time.

  1. Open your form in Google Forms and click the Responses tab at the top center of the screen.
  2. Here, you will see a visual summary of the data, complete with automatically generated pie charts and graphs.
  3. To view the raw data, click the green Google Sheets icon (View in Sheets) in the top right corner of the Responses tab.
  4. Google will create a new spreadsheet in your Google Drive where every column is a question and every row is a respondent’s answer. This spreadsheet updates automatically the second someone clicks “Submit” on your form.
