How to View File Activity and Modification History in Google Drive

In shared team drives and multi-user Google Workspace folders, files are constantly being edited, relocated, renamed, or shared with new collaborators. When a critical spreadsheet disappears from its customary folder, an asset is unexpectedly renamed, or permission settings change without notice, determining who made the adjustment can feel like detective work.

Rather than guessing, Google Drive incorporates a comprehensive audit ledger known as the “Activity Panel”. This tool logs every action performed on files and folders across your drive, timestamping each event and identifying the collaborator responsible.

Method 1: View Activity for a Specific File or Folder

To inspect the historical timeline of an individual document or directory:

  1. Open Google Drive in your desktop web browser.
  2. Click once on the file or folder you want to inspect to select it.
  3. In the top-right toolbar, click the View details icon (represented by an ‘i’ inside a circle).
  4. A sidebar panel will expand on the right side of your screen.
  5. Click the Activity tab at the top of the sidebar.

Google Drive will display a reverse-chronological list of every action related to that item, including:

  • When the file was created or uploaded.
  • Who edited or commented on the document.
  • When the item was moved from one folder to another.
  • Who modified sharing access or added new collaborators.
  • When the file was renamed or restored from the trash.

Method 2: View Global Folder and Drive Activity

If you want to oversee general team productivity across an entire project directory:

  1. Navigate inside the parent folder or Shared drive.
  2. Ensure no individual file is selected (click anywhere in the blank whitespace between files).
  3. Click the View details (i) button in the top-right corner.
  4. In the Activity tab, you will see a unified stream detailing all uploads, deletions, and edits performed by any team member inside that directory.

Method 3: Differentiate Activity from Version History

It is important to understand the difference between Activity and Version History in Google Workspace:

  • Activity Panel: Tracks file-level events (renames, sharing permissions, folder movements, and timestamps of edits).
  • Version History: Located inside Google Docs, Sheets, or Slides via File > Version history > See version history. This tool shows exact, granular text and formula changes inside the file itself, allowing you to restore earlier snapshots.

Combining the Activity sidebar with native Version History provides total transparency over your cloud documents, making collaborative file management completely stress-free.
