When sharing sensitive client proposals, proprietary research reports, creative scripts, or financial projections via Google Drive, granting standard “Viewer” access is often not secure enough. By default, any user with view access can easily download an offline copy, print hard copies, or copy all text to their clipboard. To protect your intellectual property and prevent uncontrolled dissemination, Google Drive includes an advanced sharing restriction that completely disables downloading, printing, and copying for viewers and commenters.
What Happens When Downloads and Copying Are Disabled?
Enabling this security restriction enforces several guardrails on the recipient’s view:
- Download Button Removed: The download icon disappears entirely from the Google Drive file preview and the document interface.
- Printing Disabled: The print icon is greyed out, and pressing Ctrl + P or Cmd + P is blocked by the browser.
- Clipboard Copying Blocked: Text selection and right-click copying are disabled, preventing users from copying paragraphs into third-party text files.
- Clear Attribution Banner: Viewers see a prominent notice: “Options to download, print, and copy have been disabled on this file.”
How to Disable Download, Print, and Copy Permissions in Google Drive
You can apply this restriction to individual documents or entire folders:
- Open Google Drive in your web browser.
- Locate the file you want to share securely (Google Doc, Sheet, Slide, or uploaded PDF).
- Right-click the file and select Share > Share.
- In the sharing modal, look at the upper-right corner for the Settings gear icon.
- Click the Settings gear icon to reveal advanced sharing options.
- Uncheck the box labelled Viewers and commenters can see the option to download, print, and copy.
- Click the back arrow in the modal to return to the share menu.
- Add your recipient’s email address, ensure their role is set to Viewer or Commenter, and click Send.
How to Apply the Restriction Inside an Open Google Doc
If you are actively editing the document:
- Click the blue Share button in the top-right corner.
- Click the Settings gear icon at the top right of the modal.
- Untick Viewers and commenters can see the option to download, print, and copy.
- Save your changes.
Important Security Note
While this restriction effectively blocks standard file exports and clipboard copying, keep in mind that determined users can still take manual screenshots or photos of their physical computer display with an external phone camera. Always pair digital sharing limits with standard non-disclosure agreements when sharing highly sensitive corporate data.
