How to Use Google Workspace Admin Console to Manage Device Approvals

In modern remote work environments, ensuring that only authorized and secure devices access company data is critical. Google Workspace provides a robust Device Management feature within the Admin Console that allows administrators to strictly control which endpoints can synchronize Google Drive files, access Gmail, or use company applications.

Why Implement Device Approvals?

By default, users might be able to log into their Workspace accounts from personal, unmanaged devices, creating a significant data exfiltration risk. Enabling Device Approvals ensures that every new mobile device, tablet, or desktop must be explicitly authorized by an IT administrator before it is granted access to the organization’s Google data.

How to Enable Device Approvals

Follow these steps to mandate administrative approval for new devices:

1. Log in to the Google Workspace Admin Console using an administrator account.
2. Navigate to Devices > Mobile & endpoints > Settings > Universal settings.
3. Expand the Security section.
4. Under the “Device approvals” setting, check the box that says Require admin approval for device access.
5. You can optionally enter an email address to receive notifications whenever a user attempts to register a new device.
6. Click Save at the bottom of the screen.

How to Approve or Reject Devices

Once the policy is enforced, when a user attempts to log in from a new device, their access will be placed in a pending state. To manage these requests:

1. In the Admin Console, go to Devices > Mobile & endpoints > Devices.
2. Use the filter at the top of the list to filter by Status > Pending Approval.
3. Review the device details, including the user requesting access, the device type, OS version, and the time of the request.
4. Select the checkbox next to the device(s) you wish to manage.
5. Click the Approve (check mark) icon to grant access, or the Block (circle with a line) icon to deny access.

By strictly enforcing Device Approvals, you establish a critical zero-trust perimeter, ensuring that lost, stolen, or unauthorized personal devices can never access your Google Workspace environment.
