If you need to organize a company potluck, collect feedback from 50 clients, or gather RSVPs for a wedding, sending a mass email is a guaranteed disaster. You will spend days hunting through replies, copying answers into a spreadsheet, and chasing down people who forgot to attach their response. To collect and organize data effortlessly, you should use Google Forms.
Google Forms is a free, web-based survey tool integrated directly into Google Drive. It allows you to build custom questionnaires in minutes. Best of all, when people answer your questions, their responses are automatically dropped into a perfectly formatted Google Sheet, entirely eliminating manual data entry. In this guide, you will learn how to build your first survey.
Step 1: Creating the Form
Because it is part of the Google ecosystem, creating a Form is just as easy as creating a Doc.
- Go to drive.google.com.
- Click the large + New button in the top-left corner.
- Select Google Forms.
You will be presented with a blank canvas. Click on the title at the very top (it defaults to “Untitled form”) and rename it to something descriptive, like “Quarterly Client Feedback.”
Step 2: Adding and Customizing Questions
Forms offers far more than just basic text boxes. To build a good survey, you must use the right question types.
- Click the + (Plus) icon on the floating menu next to the form to add a question.
- Type your question (e.g., “How satisfied were you with our service?”).
- Click the dropdown menu next to the question to change its format.
Here are the most useful formats:
- Multiple Choice: Best for simple Yes/No answers. (Users can only pick one).
- Checkboxes: Best when multiple answers apply. (e.g., “Which software do you use? Check all that apply”).
- Linear Scale: Perfect for feedback. It creates a numbered scale (1 to 5), allowing users to rate their experience.
- Paragraph: Use this when you want users to type out a detailed opinion or review.
Pro Tip: If a question is absolutely critical, toggle the Required switch at the bottom of the question box. The user will not be able to submit the form until they answer it.
Step 3: Sending the Form
Once your survey looks good, you need to distribute it.
- Click the large purple Send button in the top-right corner.
- While you can email it directly from this menu, the best method is to click the Link icon (it looks like a chain).
- Check the Shorten URL box.
- Click Copy.
You now have a clean, short link that you can paste into Slack, drop into a mass email, or post on social media. Anyone who clicks the link can fill out the form, even if they do not have a Google account.
Step 4: Viewing the Results Automatically
You do not have to check the form constantly. You can set it up to compile answers into a spreadsheet automatically.
- At the top center of your form editor, click the Responses tab.
- Click the green Google Sheets icon (Link to Sheets).
- Select Create a new spreadsheet and click Create.
A brand new Google Sheet will open. As people fill out your survey, their answers will magically populate into this sheet in real-time, perfectly categorized by column. You can then use Pivot Tables or charts to analyze the data instantly.
