What is Smart Canvas in Google Docs?
Google Docs is no longer just a static word processor; it has evolved into a dynamic workspace. At the heart of this evolution is the Smart Canvas initiative, which integrates interactive elements—called “chips”—directly into your text.
Instead of copying and pasting long, ugly URLs or constantly switching between Google Calendar, Gmail, and Google Drive, you can use the @ (At) menu to embed live data, link to other files, assign tasks, and trigger integrations instantly.
How to Open the @ Menu
Using the feature is incredibly intuitive. While typing in a Google Doc, simply press the @ key on your keyboard. A comprehensive drop-down menu will instantly appear at your cursor, categorizing all the available smart chips and building blocks.
You can then continue typing to filter the results. For example, typing @meeting will filter the menu to show your upcoming Google Calendar events.
The Most Useful Interactive Chips
1. People and Contacts
Type @ followed by a colleague’s name (e.g., @John Doe). Google Docs will create a “People Chip.” Hovering over this chip displays John’s contact information, his local time zone, and quick buttons to send him an email, start a Google Chat, or schedule a Google Meet. If the document is restricted, Google Docs will automatically prompt you to share the file with him.
2. File Integration
Instead of hyperlinking text, type @ followed by the name of another Google Doc, Sheet, or Slide (e.g., @Q3 Financial Report). This inserts a “File Chip.” Readers can hover over the chip to see a live preview snippet of the document without having to open a new browser tab.
3. Calendar Events and Meeting Notes
If you are preparing an agenda, type @ and select Meeting notes (or type the name of the specific event). Google Docs will insert a structured block that pulls in the meeting date, a list of attendees (as People Chips), and pre-formatted sections for “Notes” and “Action items.”
4. Interactive Dates
Type @today, @tomorrow, or @date to insert a Date Chip. Clicking this chip opens a mini-calendar right inside the document, allowing you to easily adjust project timelines. You can also use Date Chips to trigger automated email notifications when a deadline approaches.
5. Drop-down Menus
Type @dropdown to insert a customizable status menu. You can choose from presets like “Project Status” (Not Started, In Progress, Complete) or create your own custom drop-down with specific colors. This is highly effective for using Google Docs as a lightweight project tracker.
Third-Party Smart Chips
Google has opened the Smart Canvas ecosystem to third-party developers. If your organization uses tools like Jira, Figma, or Zendesk, you can install their respective Google Workspace add-ons. Once installed, pasting a link to a Jira ticket or Figma design into the document and pressing the Tab key will automatically convert the URL into an interactive smart chip containing live data from those platforms.
