Google Docs acts as a central hub for collaborative projects, and to facilitate teamwork, Google integrated a task assignment system directly into the word processor. If you type a phrase that sounds like a command or a to-do item (e.g., “John needs to finalize the budget by Tuesday”) or if you type an “@” symbol followed by a colleague’s name, Docs may automatically suggest creating a formal “Action Item.” A pop-up will appear in the margin, offering to officially assign the task to the mentioned user, which will then trigger an email notification and add the task to their personal Google Tasks list.
While this is an excellent feature for project managers actively delegating work, it can be highly intrusive if you are simply taking meeting notes or drafting a document where names are mentioned contextually, not as directives. Having a pop-up constantly asking to email your coworkers every time you type their name is distracting. Furthermore, accidentally clicking “Assign” can send confusing notifications to colleagues who weren’t expecting formal tasks. If you prefer to manage tasks in a dedicated project management tool and just want Google Docs to function as a quiet word processor, you should disable this automated assignment suggestion.
How to Stop Automatic Task Suggestions
You can prevent Google Docs from prompting you to assign action items via the Preferences menu.
- Open your document in Google Docs.
- Look at the top toolbar and click on the Tools menu.
- Scroll down the dropdown list and select Preferences.
- In the Preferences window, ensure you are on the General tab.
- Look down the list of checkboxes for the option labelled Automatically suggest action items (or “Suggest action items”).
- Click the checkbox to remove the checkmark.
- Click the blue OK button to save your changes.
Google Docs will instantly stop analyzing your text for commands and will no longer interrupt your writing with pop-ups suggesting you assign tasks to the people you mention in the document.
