When you finish writing a report in Google Docs and need to email it to a colleague who uses Microsoft Word, the standard workflow is incredibly tedious. You have to click “Download as PDF,” wait for the file to save to your hard drive, open a new tab, log into Gmail, create a new email, manually attach the file, and click send. Instead of wasting time jumping between applications, you can use a hidden integration to instantly package and email the document directly from the Google Docs interface.
How the Internal Mailing Engine Works
Because Google Docs is built on the same cloud infrastructure as Gmail, they share a unified communication pipeline. When you trigger the “Email as attachment” tool, Google Docs bypasses your local hard drive entirely. It instantly converts your live, cloud-based document into a static file format (like a PDF or a Microsoft Word .docx file) on Google’s own servers, attaches it to an invisible email, and sends it through your Gmail account—all without you ever opening your inbox.
Step-by-Step Instructions
- Open the Google Docs document you want to send.
- In the top menu bar, click on File.
- Hover your mouse over Email.
- From the slide-out menu, select Email this file.
A compact email composition window will instantly appear floating in the center of your document.
- In the To field, type the email address of the recipient.
