Navigating through a lengthy, multi-page Google Doc can be tedious for both authors and readers. If you are creating a report, a manual, or an extensive essay, adding a table of contents allows users to jump instantly to the section they need without endless scrolling.
Google Docs includes a built-in tool that automatically generates and updates a table of contents based entirely on the heading styles used throughout your document.
Step 1: Format Your Document with Headings
The table of contents tool relies strictly on Google Docs’ paragraph styles. If you have only been using bold text and larger font sizes to separate your sections, the tool will not recognise them.
- Highlight the text you want to act as a section title.
- Click the Styles drop-down menu in the toolbar (it usually says “Normal text” by default).
- Select Heading 1 for your main sections.
- For sub-sections, select Heading 2, and use Heading 3 for further nested points.
Step 2: Insert the Table of Contents
Once your document is properly formatted with heading styles, generating the table takes only a few clicks.
- Place your cursor exactly where you want the table of contents to appear (usually at the very beginning of the document or immediately after the title page).
- Click on Insert in the top menu bar.
- Scroll down to the bottom of the menu and hover over Table of contents.
- Choose your preferred layout:
- Plain Text: Displays the headings with page numbers. This is best for documents intended to be printed.
- Dotted: Displays headings with a dotted line leading to the page number.
- Links: Displays the headings as blue, clickable hyperlinks without page numbers. This is best for documents meant to be read digitally.
Step 3: Updating the Table of Contents
As you continue writing and editing your document, your headings will inevitably move to different pages, or you may add entirely new sections. Google Docs does not update the table of contents in real-time; you must refresh it manually.
- Click anywhere inside the existing table of contents.
- A small toolbar will appear with a circular arrow icon (the Update table of contents button).
- Click this circular arrow icon.
The table will instantly scan your document and update all heading titles and page numbers to reflect your current layout.
