How to Create a Dropdown Menu in Google Docs

Google Docs is primarily known as a traditional word processor, but it has steadily incorporated powerful productivity features usually reserved for spreadsheet applications like Google Sheets. One of the most useful of these features is the ability to insert interactive, colour-coded dropdown menus directly into your text.

Dropdown menus are incredibly valuable when you are using a Google Doc for project management, collaborative editing, or client intake forms. Instead of asking a colleague to type out a project’s status and risking inconsistent formatting, you can force them to select from a predefined list of options (e.g., "Not Started," "In Progress," or "Completed"). This keeps your document clean, organised, and visually appealing.

How to Insert a New Dropdown Menu

Google has made inserting a dropdown menu as simple as adding an image or a table. You do not need any coding knowledge to set this up.

  1. Open your document in Google Docs.
  2. Place your blinking text cursor exactly where you want the dropdown menu to appear in the document.
  3. Click on Insert in the top menu bar.
  4. Scroll down the menu and select Dropdown.

A small window will appear offering two choices. You can either select a Preset dropdown (Google provides pre-built templates for "Project Status" and "Review Status") or you can click New dropdown to create your own custom list from scratch.

How to Customise Your Dropdown Options

Creating a custom dropdown allows you to tailor the menu entirely to your specific workflow. If you selected "New dropdown" in the previous step, you will be taken to the configuration screen.

  1. Template Name: Give your dropdown template a descriptive name (e.g., "Client Priority" or "Department Selection"). This name will not be visible in the document itself; it simply allows you to reuse this specific menu layout later in the same document.
  2. Option Names: You will see a list of blank fields labeled "Option 1," "Option 2," etc. Click into these boxes and type the specific text you want your users to choose from.
  3. Colours: To the left of each option name, click the small circle to assign a specific background colour to that choice. This visual colour-coding is crucial for making the status of items instantly recognisable at a glance.
  4. Add/Delete Options: If you need more than four choices, click the + New Option button at the bottom. If you want to remove an option, click the small trash can icon to the right of the text field.
  5. Once you are satisfied with your list, click the blue Save button.

The dropdown menu will instantly appear in your document. You (and anyone you share the document with) can now click the small grey pill to reveal the list and select an option.

How to Edit an Existing Dropdown Menu

If your project requirements change halfway through, you do not need to delete the dropdown and start over. You can easily edit the existing menu to add new options or change the colours.

  1. Click on the existing dropdown menu in your document.
  2. At the bottom of the list of options, click the button labeled Add/Edit Options.
  3. This will re-open the configuration window. Make your necessary changes.
  4. Click Save.

If you have inserted this specific dropdown menu multiple times throughout your document, Google Docs will display a prompt asking if you want to apply these changes Only to this instance or to All instances in the document. This is a massive time-saver, allowing you to update the entire document globally with a single click.
