The End of Static Documents
Historically, a word processing document was a static, isolated silo of text. The reader would have to click the URL, open a new browser tab, log into Jira, read the ticket status, and then navigate back to the Google Doc to understand the context. This constant context-switching destroys productivity and ensures that the information in the Google Doc is instantly out of date the moment the Jira ticket is updated.
To fundamentally rewrite how documents function, Google introduced Smart Canvas. Smart Canvas transforms a standard Google Doc into an interactive, real-time dashboard. By utilizing the @ (at-symbol) menu, users can embed live, interactive “Smart Chips” directly into the text. To extend Smart Canvas to external platforms like Jira or Salesforce, the third-party developer must have created a Google Workspace Add-on, and the administrator must authorize it.
If you are an end-user, you can install add-ons individually by clicking Extensions > Add-ons > Get add-ons inside the Google Doc and searching for “Jira” or “Figma.”
However, in an enterprise environment, IT administrators should deploy these globally.
- Log into the Google Workspace Admin Console (admin.google.com).
- Navigate to Apps > Google Workspace Marketplace apps > Apps list.
- Click Install app.
- Search for the required integration (e.g., “Jira Cloud for Google Workspace”).
- Select Domain Install to force the application to install for the entire organization (or a specific OU).
Once deployed, the backend API pipeline between Google Docs and the third-party platform is established.
Step 3: Embedding and Interacting with Third-Party Smart Chips
With the integration installed (and the user having authenticated their Jira/Salesforce account the first time they use it), the workflow transforms entirely.
Suppose you are writing a project charter and need to reference a specific Jira Epic (e.g., PROJ-1234).
You type @PROJ-1234, or you simply paste the URL of the Jira ticket into the Google Doc and press the Tab key.
Google Docs intercepts the URL and instantly converts the massive blue hyperlink into a sleek, inline Smart Chip displaying the Jira icon and the ticket title.
The true power is interaction: When an executive is reading the Google Doc, they do not click the link to leave. They simply hover their mouse over the Jira Smart Chip. A massive, interactive widget renders directly over the document. The executive can instantly see:
- The current Status (e.g., “In Progress”).
- The Assignee.
- The Priority.
- A detailed description of the ticket.
Because the chip queries the third-party API live, the data is always mathematically accurate. If an engineer closes the ticket in Jira on Tuesday, the Google Doc will automatically reflect the “Closed” status on Wednesday.
Step 4: Utilizing Interactive Building Blocks
Smart Canvas also includes “Building Blocks,” which are complex, pre-formatted tables containing interactive dropdowns and Smart Chips.
Type @project tracker. Google Docs instantly injects a highly formatted table into the document. The columns include “Task,” “Owner,” “Status,” and “Notes.”
The “Owner” column is pre-populated with Person Smart Chips. The “Status” column utilizes the new Google Docs Dropdown feature, allowing users to select “Not Started,” “In Progress,” or “Blocked,” complete with color-coded highlighting.
