The Document Comparison Clutter
Google Docs includes a robust “Compare Documents” feature that allows you to take two separate files and merge them into a third file, automatically highlighting all the differences as “Suggesting” edits. This is incredibly useful for legal contracts or complex academic papers where you need to track changes across entirely different document versions.
However, this feature is integrated deeply into the “Tools” menu. In many enterprise or educational Google Workspace environments, administrators may actually want to disable this feature. Why? Because comparing massive, complex documents can heavily tax the browser and occasionally lead to confusion if users accidentally merge the wrong files, creating chaotic, unreadable drafts filled with hundreds of red strikethroughs.
How to Prevent Document Comparison
As an individual user, you cannot “disable” the Compare Documents button—it is hardcoded into the Google Docs UI. However, if you are a Google Workspace Administrator, you can restrict the ability of your users to compare documents outside of your organization, which is the primary security concern.
- Sign in to the Google Workspace Admin Console (admin.google.com) using an administrator account.
- Navigate to Apps > Google Workspace > Drive and Docs.
- Click on Features and Applications.
- Locate the setting for Allow users to compare documents (The exact wording may vary slightly based on Google’s current admin layout).
- You can change this setting to prevent users from comparing documents with external files, or restrict the feature entirely depending on your organizational tier.
- Click Save.
For individual users who simply find the button annoying in the Tools menu, the only solution is to ignore it. The feature only activates if you explicitly select it and manually choose a second document from your Google Drive to initiate the comparison process.
