How to Create and Manage Checklists in Google Keep

Google Keep is one of the cleanest and most accessible digital note-taking services available, offering effortless synchronisation across Android, iOS, and the web. While freeform text notes and audio memos are useful, interactive checklists transform Google Keep into a practical daily task manager for grocery runs, packing preparations, routine maintenance, and project milestones.

Whether you want to build a checklist from scratch, convert unstructured bullet points into interactive checkable tasks, or nest sub-items under a parent task, this guide covers everything you need to create and manage checklists in Google Keep.

How to Start a New Checklist in Google Keep

You can create a fresh checklist with interactive checkboxes in seconds on both desktop browsers and mobile devices.

On Desktop (Web Browser)

  1. Navigate to keep.google.com and sign in with your Google account.
  2. In the Take a note… container at the top of your screen, click the New list icon (represented by a square with a tick mark).
  3. Enter a clear title for your checklist (for example, Weekly Grocery Essentials).
  4. Type your first item beside the initial checkbox.
  5. Press Enter on your keyboard to instantly create the next checkbox. Keep typing and pressing Enter until your list is complete.
  6. Click Close in the bottom-right corner (or click outside the note) to save your changes.

On Mobile (Android & iPhone)

  1. Launch the Google Keep app.
  2. At the bottom of your feed, tap the Tick box icon (the square with a tick mark) located in the quick-action bar.
  3. Input your list title and tap + List item to type your tasks.
  4. Tap the blue tick or return key on your mobile keyboard to add subsequent items.
  5. Tap the back arrow in the top-left corner to save and return to your main notes stream.

Convert an Existing Text Note into a Checklist

If you already have a plain text note filled with lines of items, thoughts, or ingredients, you do not need to retype them into checkboxes manually.

  1. Open the existing text note in Google Keep.
  2. Click or tap the Three dots menu icon (More options) at the bottom of the note.
  3. Select Show checkboxes (or Tick boxes depending on your regional language settings).
  4. Google Keep immediately converts every line break into an individual checkbox task.

Reverting Back: If you ever wish to remove the checkboxes and revert to plain paragraphs, click the three-dot menu again and choose Hide checkboxes. You can choose whether to keep completed items or delete them during the conversion.

How to Indent and Nest Subtasks in a Checklist

Google Keep supports hierarchical nesting, allowing you to indent items underneath a main category or parent task. This is particularly helpful for grouping grocery items by aisle or dividing complex chores into minor action steps.

Indenting on Web:

  1. Hover your mouse over the list item you wish to indent.
  2. Click and hold the six-dot drag handle on the left side of the checkbox.
  3. Drag the cursor slightly to the right and release. The item will indent under the entry directly above it.

Indenting on Mobile:

  1. Open the checklist in the Keep mobile app.
  2. Locate the item you want to turn into a subtask.
  3. Swipe the list item gently from left to right. It will snap inward as an indented sub-item.
  4. To un-indent the item, swipe it from right to left.

When you tick off a parent item, Google Keep automatically checks off and collapses all indented subtasks underneath it.

Reordering and Managing Completed Checklist Items

Google Keep offers fluid controls to keep your active task list uncluttered as you complete duties throughout the day.

Checking Off Items

Clicking or tapping any checkbox strikes through the text and moves the item down to a collapsible Completed items drawer at the bottom of the note. This keeps your remaining pending tasks visible without visual distraction.

Reordering Items

To change the priority of items in your active list:

  • On Web: Click and drag the six-dot grip icon on the left of any item up or down.
  • On Mobile: Press and hold the drag handle next to the checkbox, then slide the item to its new position.

Reusing Checklists (Unchecking All Items)

If you maintain a reusable checklist—such as a flight packing list, gym routine, or weekly cleaning rota—you do not need to create a new note every time. You can reset all completed tasks simultaneously:

  1. Open your checklist note.
  2. Click the Three dots menu button.
  3. Select Uncheck all items.
  4. Every completed item will immediately be restored to the active list above, retaining any nested indentations you previously configured.

Quick Checklist Troubleshooting

Why Did Indented Items Disappear?

If an indented subtask seems to have vanished, check if its parent item was ticked off. When a parent item is completed, all associated nested items are moved together into the completed items section. Expanding the Completed items section will reveal the full hierarchy.

Can You Add Checkboxes Inside a Table?

Google Keep does not natively support rich Markdown tables or embedded spreadsheet grids. If your workflow requires multi-column tabular checklists with formulas or deadlines, consider linking the note to Google Docs or creating your task register in Google Sheets.
