How to Export Google Contacts to CSV or vCard for Outlook and Apple Devices

Backing up your address book or moving contacts between platforms requires choosing the right file format. Google Contacts supports exporting entries to CSV and vCard files, allowing you to migrate data smoothly into Microsoft Outlook, Apple Contacts, or external backup drives. Exporting also safeguards your address book against accidental deletions or account synchronisation issues.

Choosing the Correct Export Format in Google Contacts

Google Contacts provides three export options tailored for specific platforms:

  • Google CSV: Recommended when backing up contacts for restoration into another Google account. It preserves custom Google labels and notes.
  • Outlook CSV: Formatted specifically for importing address data into desktop Microsoft Outlook or Outlook on the web. It maps standard name, email, and address fields to Microsoft’s contact schema.
  • vCard (.vcf): The standard format for Apple devices, including iOS, iPadOS, and macOS Contacts, as well as many third-party address book clients.

Exporting Google Contacts on the Web

You can export your entire contact directory, a selected group, or specific labels directly through your desktop browser:

  1. Open a web browser and navigate to contacts.google.com. Ensure you are signed in with the appropriate Google account.
  2. To export all contacts, select the Export icon (an arrow pointing outward) from the top-right toolbar or the left navigation panel.
  3. To export specific contacts, hover over individual entries, tick their respective selection checkboxes, and click the three-dot menu icon followed by Export.
  4. In the Export contacts dialogue box, select which contacts to export (for example, Frequently contacted, a specific label, or All contacts).
  5. Choose your target format:
    • Select Outlook CSV if importing into Microsoft 365 or Outlook.
    • Select vCard (for iOS Contacts) if syncing with an iPhone, iPad, or Mac.
    • Select Google CSV for a generic backup or transfer to another Google profile.
  6. Click Export. The file will save to your computer’s local download folder.

Importing vCard Files into Apple Contacts on iPhone and Mac

Once you have exported a .vcf file from Google Contacts, importing it into the Apple ecosystem takes only a few steps:

  1. On Mac: Open the Contacts application. Select File > Import, locate your exported .vcf file, and click Open. Review the contact cards and confirm the import.
  2. On iCloud Web: Visit icloud.com/contacts in your browser, log in with your Apple Account, click the gear settings icon in the bottom-left corner, choose Import vCard, and upload your file. The contacts will automatically synchronise across all devices signed into that Apple Account.
  3. On iPhone or iPad: Email the .vcf file to yourself or transfer it via AirDrop. Tap the attachment in the Mail or Files app, then select Add All Contacts to merge them into your local address book.

Importing CSV Files into Microsoft Outlook

If you selected the Outlook CSV option, you can add your contacts to desktop Outlook seamlessly:

  1. Launch Microsoft Outlook on your Windows PC.
  2. Navigate to File > Open & Export > Import/Export.
  3. Select Import from another program or file and click Next.
  4. Choose Comma Separated Values and click Next.
  5. Click Browse to locate your downloaded CSV file. Choose your preferred duplicate-handling rule (such as Replace duplicates with items imported or Do not import duplicate items) and proceed.
  6. Select your destination folder (typically Contacts) and click Next.
  7. Confirm the field mapping if prompted, then click Finish to complete the process.

Resolving Formatting and Synchronisation Discrepancies

When migrating contact files between diverse ecosystems, keep the following practical tips in mind:

  • Special Characters and Encodings: If non-Latin names or accented letters appear garbled after importing a CSV, open the file in a text editor and ensure it is saved using UTF-8 encoding before importing.
  • Profile Images: CSV formats store text attributes only and do not export contact profile photos. If high-resolution avatar preservation is necessary, export via vCard, which embeds contact photos directly in the file structure.
  • Clean Up Duplicates: Before exporting, navigate to Merge and fix in the left sidebar of Google Contacts to eliminate duplicate entries and resolve fragmented phone numbers.
