Typing out your name, title, company, and phone number at the end of every single email is a massive waste of time. Whether you are using Gmail for personal correspondence or professional networking, setting up an automated email signature gives your messages a polished, professional look without any extra effort on your part.
How to Create a Signature on a Desktop Computer
Setting up your signature on a PC or Mac allows you to use rich formatting, add hyperlinks, and even insert your company logo.
- Open Gmail in your web browser on a computer.
- Click the Settings gear icon in the top right corner of the screen.
- Click See all settings at the top of the quick menu.
- You will be on the “General” tab by default. Scroll down the page until you find the Signature section.
- Click the + Create new button.
- Give your signature a name (e.g., “Work Signature” or “Personal”) and click Create.
- A text box will appear. Here, you can design your signature. You can change fonts, adjust colors, insert a small image (like a logo), and add hyperlinks to your LinkedIn profile or company website.
Setting Signature Defaults
Once you have designed your signature, you must tell Gmail when to use it.
Right beneath the text editor box, you will see a section called Signature defaults. You have two drop-down menus:
- For new emails use: Select the name of the signature you just created.
- On reply/forward use: You can choose to attach your signature to every reply, or select “No signature” if you prefer replies to be less cluttered.
Important: Scroll to the very bottom of the Settings page and click Save Changes. If you do not click this button, your new signature will be lost!
How to Create a Signature on the Gmail Mobile App
Signatures created on the desktop do not automatically sync to the Gmail mobile app on your iPhone or Android. You must set up a mobile signature separately. Mobile signatures are text-only; you cannot add images or complex HTML formatting.
- Open the Gmail app on your smartphone.
- Tap the three horizontal lines (Menu) in the top left corner.
- Scroll all the way down and tap Settings.
- Tap on your email address account name.
- On Android: Tap Mobile Signature. On iPhone: Tap Signature settings and toggle the switch to “On.”
- Type in the text you want (e.g., “Best, John Doe. Sent from my phone.”)
- Tap OK (Android) or simply hit the back arrow (iPhone) to save.
Conclusion
Taking five minutes to craft a clean, professional email signature ensures that every message you send leaves a lasting, positive impression on the recipient while saving you the hassle of retyping your contact details.
