In most corporate environments, the standard default length for any scheduled meeting is 60 minutes. Because Google Calendar automatically blocks off a full hour whenever you create a new event, employees naturally assume that every discussion requires a full hour, leading to wasted time and meeting fatigue. If you want to foster a culture of quick, efficient check-ins, you should change your calendar settings to default to shorter timeframes, such as 30 or 15 minutes. Additionally, Google Calendar offers a brilliant “Speedy Meetings” feature that automatically trims 5 to 10 minutes off your meetings, giving everyone time to grab a coffee or use the restroom before their next call begins.
How to Change the Default Meeting Duration
You can change your default meeting length from the main Google Calendar settings panel on your desktop browser.
- Open Google Calendar (calendar.google.com) on your computer.
- Look in the top-right corner of the screen and click the Gear icon (Settings menu).
- Click Settings from the dropdown menu.
- In the left sidebar, click on Event settings.
- Look for the dropdown menu labeled Default duration. By default, it is set to “60 minutes”.
- Click the dropdown and select your new preferred length. You can choose from increments ranging from 15 minutes up to 120 minutes. We highly recommend selecting 30 minutes to encourage concise discussions.
The changes save automatically. Now, whenever you click a blank space on your calendar grid or click the “Create” button, the event block will perfectly match your new default length.
How to Enable “Speedy Meetings”
If you regularly suffer from back-to-back meetings where one call ends at exactly 2:00 PM and the next begins at exactly 2:00 PM, you know how stressful it is to constantly run late. Google Calendar’s “Speedy meetings” feature elegantly solves this by automatically shrinking the end time of your scheduled events.
- Navigate back to the Event settings page in Google Calendar (Gear icon > Settings > Event settings).
- Directly below the “Default duration” dropdown menu, you will see a checkbox labeled Speedy meetings.
- Check the box to enable the feature.
Once enabled, the logic works perfectly in the background:
- If you schedule a 30-minute meeting, Google Calendar will automatically end it 5 minutes early (creating a 25-minute event).
- If you schedule a 60-minute meeting (or longer), Google Calendar will automatically end it 10 minutes early (creating a 50-minute event).
This simple setting forces you and your colleagues to wrap up conversations a few minutes early, guaranteeing a small buffer zone between calls.
