In mid-sized and large enterprises, physical meeting spaces are a highly contested resource. Without a centralized management system, booking a conference room results in chaos. An employee might send a calendar invite to their team stating “Meet in the Executive Boardroom,” only to walk into the room and find the Engineering team already occupying it because they claimed it via a sticky note on the door.

Step 1: Creating the Resource in the Admin Console
Unlike user accounts, Calendar Resources do not consume a paid Google Workspace license. They are created and managed by the Super Administrator.
- Log in to the Google Workspace Admin Console (admin.google.com).
- Navigate to Directory > Buildings and resources > Resource management.
Before you create a room, you should create a Building. This allows users to filter rooms by physical location (e.g., “New York HQ” vs. “London Office”).
- Click the yellow Add (+) button and select Add a building. Give it a name and location.
- Return to the Resource Management screen, click the Add (+) button, and select Add a resource.
Here, you configure the specific parameters of the room:
- Category: Select “Meeting space”.
- Resource Name: e.g., “Boardroom Alpha”.
- Capacity: Enter the maximum number of people the room holds (e.g., 12). This is critical for filtering.
- Features: Tag the room with specific hardware (e.g., “Video Conferencing”, “Whiteboard”, “Wheelchair Accessible”).
Click Add Resource. Google will instantly generate a unique, highly complex email address for this room.
Step 2: How Users Book the Resource
Once the room is provisioned, it becomes instantly available to the entire organization via the standard Google Calendar interface.
When an employee creates a new meeting in their calendar:
- They click on the Rooms tab (located next to the standard “Guests” tab).
- Google Calendar will display a list of all available rooms.
- Because you configured the metadata in Step 1, the user can filter this list. If they invite 15 people to the meeting, Google Calendar will automatically hide “Boardroom Alpha” because its capacity is only 12. If they check the “Video Conferencing” filter, only rooms with that specific hardware tag will appear.
When the user selects a room and saves the event, Google Calendar essentially sends a meeting invitation to the room’s unique email address.
Step 3: The Auto-Acceptance Logic (Preventing Double Booking)
The core intelligence of Calendar Resources is their automated scheduling logic.
By default, if the room is empty during the requested time slot, the room’s calendar automatically replies with an “Accepted” notification and locks the time slot.
If a second employee attempts to book that exact same room for overlapping times, the room will automatically reply with a “Declined” notification, explicitly stating the room is already booked. The second employee is forced to select a different location, completely eliminating the possibility of a double-booking conflict.
Step 4: Managing Resource Permissions and Visibility
In some scenarios, you do not want an intern booking the Executive Boardroom for a casual lunch. You must restrict who has the authority to request specific rooms.
Because the room is technically a calendar, its permissions are managed exactly like a user’s calendar.
- As an administrator, open your standard Google Calendar interface (calendar.google.com).
- On the left sidebar, under “Other calendars”, click the + button and select Browse resources.
- Check the box next to “Boardroom Alpha” to add it to your view.
- Hover over the room in your sidebar, click the three dots, and select Settings and sharing.
Scroll down to the Access permissions for events section.
- By default, it is set to “Make available for [Your Domain] – See all event details”. This means anyone can see who booked the room and why.
- To increase privacy (so people only see that the room is “Busy”, but not the title of the confidential HR meeting), change it to “See only free/busy (hide details)”.
Step 5: Enforcing Manual Approval Workflows
For highly restricted rooms (like an Auditorium or a CEO’s private conference room), you can override the auto-acceptance logic and require human authorization.
In the same Settings menu (Step 4), scroll down to the Auto-accept invitations section.
Change the setting from “Auto-accept invitations that do not conflict” to “Automatically add all invitations to this calendar”.
Next, you must delegate the calendar to an administrative assistant or office manager. Add their email address under the “Share with specific people” section, and give them the “Make changes to events” permission.
Now, when an employee requests the Auditorium, the room will not auto-accept. It will simply place a tentative hold on the calendar. The administrative assistant will review the request manually and explicitly click “Accept” or “Decline,” providing absolute human control over the facility.
