Because Google Drive is deeply integrated with Gmail, anyone in the world who knows your email address can technically share a file or a folder with you. While this makes business collaboration incredibly easy, it also opens the door to aggressive spam. If a malicious user shares a file with you, it will automatically appear in your “Shared with me” tab, cluttering your workspace and potentially exposing you to phishing attempts disguised as Google Docs. Fortunately, Google allows you to permanently block specific users, ensuring they can never share files with you again across the entire Google ecosystem.
How to Block a User in Google Drive
If you spot a suspicious or annoying file in your “Shared with me” section, do not open it. You can block the sender directly from the file menu.
- Open your web browser and navigate to drive.google.com.
- In the left-hand navigation menu, click on Shared with me.
- Locate the spam file or folder. Right-click on it.
- A long context menu will appear. Look near the bottom and click on Block [[email protected]]. (The menu will display the actual email address of the person who shared the file).
- A warning dialog box will pop up. This box explains the consequences of blocking the user (they can no longer share files with you, and any files you previously shared with them will be revoked).
- Click the blue Block button to confirm.
Once blocked, the spam file will instantly vanish from your Google Drive. Furthermore, this block applies across all Google services—meaning that user will also be blocked from sending you messages in Google Chat and Google Photos.
How to Unblock a User
If you accidentally blocked a legitimate coworker, you cannot simply right-click their file again (because their files are now hidden). You must manage your blocks through your main Google Account settings.
- Click your Profile picture (or initial) in the top-right corner of Google Drive.
- Click the Manage your Google Account button. A new browser tab will open.
- In the left-hand menu of this new tab, click People & sharing.
- Scroll down to the “Contacts” section and click on Blocked.
- You will see a list of every email address you have ever blocked across all Google services. Find your coworker’s email address in this list.
- Click the X icon next to their name to unblock them.
They will immediately regain the ability to share files with you, though they may need to resend the original invitation link for you to access their documents.
