While Gmail offers a built-in “Out of Office” autoresponder, it indiscriminately replies to every incoming email. If you run a business or manage a busy inbox, you often need a more nuanced approach. For example, you might want to automatically send a pricing sheet whenever a specific client emails you, or send a standard “received and processing” reply to emails originating from a specific vendor domain. By combining Gmail’s “Templates” feature with its powerful “Filters,” you can automate these highly specific canned responses.
Step 1: Enable Gmail Templates
Before you can automate a response, you must enable the Templates feature, which is turned off by default in new Gmail accounts.
- Open Gmail in your web browser.
- Click the Settings gear icon in the top-right corner, then click See all settings.
- Navigate to the Advanced tab at the top of the settings page.
- Find the Templates section and select the Enable radio button.
- Scroll down to the bottom of the page and click Save Changes. Gmail will refresh automatically.
Step 2: Create Your Canned Response
Next, you need to write the actual message that will be sent automatically.
- Click the Compose button to start a new email.
- Leave the “To” and “Subject” fields blank. Type your desired automatic reply into the main body of the email.
- Click the Three dots (More options) icon at the bottom of the compose window (next to the trash can).
- Hover over Templates, then hover over Save draft as template, and click Save as new template.
- Enter a descriptive name for your template (e.g., “Vendor Auto-Reply”). This name will also become the Subject line of the automated email.
- Click Save and close the compose window.
Step 3: Create the Automation Filter
Now, we will instruct Gmail to monitor incoming mail and reply with your new template whenever specific criteria are met.
- Click the Show search options icon (the small sliders) on the right side of the main Gmail search bar at the top of the screen.
- In the From field, enter the specific email address (e.g.,
[email protected]) or the domain (e.g.,*@example.com) you want to target. You can also trigger the auto-reply based on specific words in the subject line by using the Subject field. - Click the Create filter button at the bottom of the search options box.
- On the next screen, you will see a list of actions Gmail can take. Check the box next to Send template.
- A dropdown menu will appear next to it. Click the dropdown and select the template you created in Step 2.
- Click the blue Create filter button.
Your automation is now active. Whenever an email arrives that matches your filter criteria, Gmail will instantly and silently reply with your canned response template, saving you the trouble of manually composing the same email over and over.
