How to Automatically Add Zoom Meeting Links in Google Calendar

Google Calendar is deeply integrated with Google Meet, automatically generating a Meet video link every time you create a new calendar event. While this is convenient, it can cause massive confusion if your organization actually uses Zoom for video conferencing. If you are tired of manually copying and pasting your personal Zoom meeting URL into every single calendar invite, you can install the official Zoom integration to generate unique links automatically with a single click.

How to Install the Zoom Add-on

Before you can automatically inject Zoom links into your calendar, you must install the official add-on from the Google Workspace Marketplace.

1. Open your web browser and navigate to calendar.google.com.
2. Look at the far-right side of the screen. You will see a narrow vertical sidebar containing icons for Keep, Tasks, and Contacts.
3. Click the + (plus) button at the bottom of that sidebar to “Get add-ons.”
4. A new window for the Google Workspace Marketplace will appear.
5. Use the search bar at the top to search for Zoom for GSuite.
6. Click on the official Zoom app developed by Zoom Video Communications, then click the blue Install button.
7. Follow the on-screen prompts to grant the add-on permission to access your calendar.

How to Automatically Add a Zoom Link to an Event

Once the add-on is installed and you have signed into your Zoom account through the sidebar, creating new meetings is effortless.

1. On your main Google Calendar grid, click anywhere to create a new event.
2. In the quick-add pop-up box, type in the title, date, and time of your meeting.
3. Look for the large blue button that normally says “Add Google Meet video conferencing.” Do not click the text.
4. Instead, click the small downward-pointing arrow on the right side of that blue button.
5. A drop-down menu will appear. Select Zoom Meeting from the list.

The system will communicate with Zoom’s servers in the background and instantly inject a brand-new, unique Zoom meeting ID, password, and dial-in phone numbers directly into the event description. When you click Save and send the invites, your guests will receive the correct Zoom link rather than a confusing Google Meet URL.
