Sharing an iCloud calendar allows family members, project collaborators, and team members to coordinate schedules seamlessly across Apple devices. Rather than sending individual event invitations for every appointment, sharing an entire calendar provides participants with ongoing visibility of your schedule. Apple enables calendar owners to grant either full editing rights or restricted view-only access, ensuring that sensitive schedules remain protected from accidental modifications while allowing collaborative planners to add and update events.
Requirements for Sharing iCloud Calendars
Before sharing a calendar, ensure that both you and your recipients meet the basic Apple ecosystem prerequisites:
- Active iCloud Account: Calendar sharing relies on Apple’s CalDAV infrastructure. Both the owner and invitees must have an active Apple Account (Apple ID) with iCloud Calendar toggled on in system settings.
- iCloud Calendar Storage: Only calendars created under the iCloud section of the Calendar app can be shared. Calendars stored locally on your device (“On My Mac” or “On My iPhone”) or hosted on third-party services (such as Google or Microsoft Exchange) cannot be shared through iCloud permissions.
- Correct Email Address: Invitations must be sent to the specific email address or phone number linked to the recipient’s Apple Account to ensure seamless acceptance across their devices.
How to Share an iCloud Calendar on iPhone and iPad
Managing calendar sharing directly from iOS or iPadOS takes only a few taps within the native Calendar app:
- Open the Calendar app on your iPhone or iPad.
- Tap Calendars at the bottom centre of the screen to open the calendar list.
- Locate the specific iCloud calendar you wish to share, then tap the round Info button (i) located to the right of its name.
- Under the Shared With section, tap Add Person.
- Type the recipient’s name, email address, or phone number associated with their Apple Account, or tap the plus icon (+) to select them from your Contacts list.
- Tap Add in the top-right corner to dispatch the invitation.
The recipient receives an invitation badge within their Calendar app as well as an email notification prompting them to accept and view the shared calendar.
Configuring View-Only vs Editing Permissions on iPhone
By default, Apple grants full editing privileges to newly invited participants. If you prefer collaborators to view events without making changes, adjust their permission tier:
- In the Calendar list, tap the Info button (i) next to the shared calendar.
- Under Shared With, tap the name of the collaborator whose permissions you wish to modify.
- Locate the Allow Editing toggle switch.
- Turn the toggle Off to restrict the participant to read-only access, or leave it On to allow them to add, edit, and delete events.
- Tap Done to save your permission changes.
How to Share an iCloud Calendar on Mac
On macOS, sharing and permission management are integrated into the sidebar of the native Calendar application:
- Open the Calendar app on your Mac.
- If the left-hand sidebar is hidden, click the Calendars button in the top toolbar or press Option + Command + S to reveal it.
- Hover your pointer over the desired iCloud calendar in the list, then click the Share Calendar icon (resembling a silhouette of a person).
- In the Share With field, type the contact name, email address, or phone number of the person you want to invite, then press Return.
- Click the small down-arrow next to the participant’s name to set their access level to either View Only or View & Edit.
- Click Done to send the invitation.
Managing Public Calendar Access
If you need to distribute an event schedule to individuals who do not use Apple devices or iCloud accounts—such as a public lecture series, sports club fixtures, or community organisation timetable—you can enable a Public Calendar:
- Open the calendar details screen on iOS (via the Info icon) or macOS (via the Share icon).
- Scroll down and toggle on Public Calendar.
- iCloud generates a read-only
webcal://link. - Tap Share Link to copy and distribute the URL via messaging, email, or website embedding.
Anyone with access to the link can subscribe to the calendar in applications like Google Calendar, Microsoft Outlook, or Mozilla Thunderbird. Public subscribers cannot alter events or see who else has subscribed.
Revoking Access and Stopping Calendar Sharing
When a collaborative project concludes or an individual leaves your team, you can revoke access instantly:
- Remove an Individual: Open the calendar’s sharing settings, select the participant’s name, and choose Stop Sharing (iOS) or select their name and press Delete (macOS).
- Stop Sharing the Entire Calendar: On iOS, scroll to the bottom of the sharing screen and tap Delete Calendar (if you no longer need it) or remove all participants individually. On macOS, click the sharing icon and delete all listed members to revert the calendar to private status.
