When you download a massive PDF document from the internet, it often contains dozens of completely useless pages, such as massive title pages, blank placeholder sheets, or highly specific legal disclaimers that do not apply to you. Printing the entire document wastes expensive ink and paper. You do not need to buy an expensive Adobe Acrobat Pro subscription to manipulate the document structure. The built-in macOS Preview application contains a highly intuitive, drag-and-drop interface for instantly reordering and deleting PDF pages.
How to Access the Thumbnail Sidebar
To manipulate the physical structure of a PDF, you must first expose the hidden navigation sidebar.
- Double-click your PDF file to open it in Preview.
- Look at the absolute top-left corner of the window, directly next to the document title. Click the Sidebar Button (it looks like a small rectangle with a column on the left side).
- From the drop-down menu that appears, select Thumbnails.
A new panel will instantly slide out on the left side of your screen, displaying a vertical, scrollable list of miniature preview images representing every single page in the document.
How to Reorder Pages
The Preview application uses a highly visual, kinetic interface. Reordering pages is a simple matter of dragging them with your mouse.
- In the thumbnail sidebar, locate the specific page you want to move.
- Click and hold down your mouse button on that specific thumbnail.
- Slowly drag your mouse up or down the list. As you drag, a blue horizontal line will appear between the other thumbnails, indicating exactly where the page will land.
- Release your mouse button to drop the page into its new position.
The document structure will instantly update. If you need to move multiple pages simultaneously (e.g., pages 5, 6, and 7), you can hold down the Shift key on your keyboard, click the first and last thumbnail in the sequence to highlight the entire block, and drag them all at once.
How to Delete Pages
Removing a page entirely from the document is a destructive action, but it is incredibly easy to execute.
- In the thumbnail sidebar, click once on the specific page you want to destroy. It will become highlighted in a light grey box.
- Press the Delete key on your Mac keyboard (or press Backspace).
The page will instantly vanish from the sidebar, and the total page count of the document will decrease. To permanently lock in these structural changes and physically remove the deleted data from your hard drive, you must press Command + S to save the file.
