When you download a massive PDF manual or a lengthy legal document, the pages are often completely out of order, or the document contains dozens of useless, blank placeholder pages. Historically, fixing these structural errors required purchasing expensive, professional software like Adobe Acrobat Pro. However, you can completely restructure, rearrange, and delete individual pages inside any PDF document for free using the built-in macOS Preview application.
How to Access the Page Thumbnail Sidebar
To manipulate the physical structure of a PDF document, you must switch Preview from a simple “reading” view into the structural “thumbnail” view.
- Double-click your PDF document to open it in Preview.
- Look at the top-left corner of the window, directly next to the document’s title. Click the View Menu icon (it looks like a tiny window with a sidebar).
- From the drop-down menu, select Thumbnails (or press Option + Command + 2).
A new vertical sidebar will slide open on the left side of the screen, displaying a scrolling list of miniature, numbered previews representing every single page in the document.
How to Rearrange Pages
Once the Thumbnail sidebar is open, restructuring the document is entirely drag-and-drop.
If Page 5 is supposed to be the title cover (Page 1), simply click and hold the thumbnail for Page 5. Drag it straight up to the very top of the sidebar list and drop it directly above Page 1. The software will instantly re-number the entire document, shifting everything down to perfectly accommodate the new structural flow.
You can also highlight multiple pages simultaneously by holding the Command key while clicking different thumbnails, allowing you to drag entire chapters around the document in one swift motion.
How to Delete Useless Pages
If the PDF contains a massive, 10-page index at the end of the document that you do not need, or a series of blank pages ruining the formatting, you can violently delete them from the file without affecting the rest of the text.
- In the Thumbnail sidebar, click on the specific page you want to destroy. It will highlight in grey.
- Press the Delete (or Backspace) key on your Mac keyboard. (Alternatively, click the “Edit” menu at the top of the screen and select “Delete”).
The page will instantly vanish from the sidebar, and the total page count will dynamically decrease. When you have finished perfectly rearranging and cleaning the document, press Command + S to permanently save the newly structured PDF file to your hard drive.
